The City of Brooks requires one (1) 18-month term Recreation Administrative Assistant in the Recreation Services Department.

**JOB DETAILS & RESPONSIBILITIES**:
This position provides administrative services and clerical support to the Recreation Services Department in order to assist in the efficiency and effectiveness of its operations. The Recreation Administrative Assistant is also responsible for providing administrative assistance and support to the Manager of Recreation Services as required.

**ROLES AND RESPONSIBILITIES**:

- Provides a broad range of accurate, professional administrative services in accordance with department standards and in an efficient manner that emphasizes customer service excellence;
- Assists the Manager, Recreation Services in fulfilling his/her responsibilities;
- Assists the Recreation Services Supervisor in providing direction and support to Recreation Customer Service Representatives and Team Leads;
- Administers booking systems and processes for user groups; ensure optimization of facility use;
- Prepares and processes department timesheets and other personnel system forms as required;
- Communicates effectively and professionally with patrons and staff at all times concerning information sharing and day-to-day operations;
- Maintains department finance records - including correcting errors, monthly account balancing, accounts payable, accounts receivable;
- Schedules and organizes meetings and appointments;
- Records complaints into the complaint tracking system, maintains complaint log and promptly forwards complaint information to the appropriate staff member and the Manager, Recreation Services;
- Performs all data entry, system operations and maintenance tasks for department record keeping systems, including but not limited to, recreation management, facility bookings, statistics and purchase orders;
- Ensures records are maintained according to prescribed standards;
- Maintains department filing systems and the department policies and procedures manual according to prescribed standards. Ensures all records are maintained as per the corporate records management system;
- Prepares and distributes agenda packages for Board and department meetings. Attends meetings and records minutes as assigned;
- Prepares routine correspondence;
- Assists in maintaining an appropriate inventory of office supplies. Purchases office supplies and other goods or services in accordance with approved policies and budget;
- Strives for continuous improvement of job function. Makes recommendations to the Manager, Recreation Services pertaining to such improvements;
- Ensures that all tasks are performed safely and in compliance with applicable legislation, policies and procedures; and,
- Performs other duties as assigned.

**EDUCATION AND EXPERIENCE**:

- Completion of High School Diploma or equivalent supplemented by completion of a program in Office Administration;
- Minimum of one (1) to three (3) years of experience in a similar setting;
- An equivalent combination of education and experience may be considered;
- Must possess the necessary organizational and time management skills to meet strict deadlines, while performing a wide variety of tasks;
- Above average public relations, communication and interpersonal skills;
- Proficient in Microsoft Office;
- Experience with Intelligenz software, Laserfiche and Vadim an asset;
- Ability to maintain confidentiality regarding department and municipal matters;
- General understanding of recreation operations;
- Willingness to upgrade qualifications to remain current;
- Valid Class 5 driver’s licence; and,
- Subject to a criminal record check.

**Compensation & Benefits**:

- The City of Brooks offers a competitive salary and benefits package, with this position falling within the scope of the Collective Agreement between the City of Brooks and the Canadian Union of Public Employees Local 1032.
