**Administrative Coordinator**
As the first point of contact for our onsite customers and visitors, and the **Administrative Coordinator** is a personable self starter who will provide high-level customer service to H.A. Kidd’s leadership team and colleagues. **Due to the nature of the job duties, this role is 100% onsite at our East York office.**
**Responsibilities**:
**Communication & Front Office Management**:
- Promptly respond to all inquiries, ensuring stakeholder satisfaction
- Serve as the first point of contact at the reception, providing a warm welcome and assistance to customers and visitors
- Efficiently distribute incoming mail to respective staff members
**Order & Data Management**:
- Input RMA details into IN67, subsequently liaising with Bev or Stephanie for final approval and processing.
- Ensure effective management and oversight of the FAXTOR for all Burda orders
- Oversee and process diverse online orders including, but not limited to, platforms like Amazon, Rit, Loblaws, Staples, Craftable, Indigo, and provide backup support for Walmart.ca orders
- Guarantee the punctual pick-up of customer orders, ensuring their appropriate archival for invoicing, complete with mandatory signatures and dates
- Facilitate smooth order entries for sample requests in collaboration with the warehouse. Ensure these requests are aligned with TSM's weekly shipping slots
**Vendor Coordination & Invoice Processing**:
- Execute tasks related to Lion Brand orders including maintaining pertinent spreadsheets, issuing PO40, liaising with LBY for packing lists, and reconciling discrepancies
- Ensure timely dispatch of Fabricland, Fabricville, and independent invoices in alignment with customer preferences and schedules
- Coordinate logistics with renowned courier services like FedEx, Same Day, and DHL for prompt package pickups
**Report Management & Miscellaneous Duties**:
- Regularly monitor and maintain the AP35 receipt accrual reports
- Actively contribute towards realizing the company’s overarching objectives
- Stay abreast with necessary training modules, especially those related to sample request order entries
- Execute special projects or tasks in alignment with organizational needs as directed by the Manager/Supervisor
**EDUCATION & EXPERIENCE**:
- Completion of High School or College diploma
- Minimum 1 year experience working as CSR or an Administrative Assistant
**SKILLS & QUALIFICATIONS**:
- Positive Attitude; Integrity and Professionalism
- Highly skilled in Microsoft Office (Word, Excel, and Outlook)
- Strong verbal and written communication skills
- Exceptional organizational skills and must be organized, multitasking, detail-oriented, focused on deadlines, self-motivated and adaptable to the diversity of the company’s requirements
- Excellent time management skills and should be a forward thinker to perform assignments independently with mínimal supervision; think outside the box about solutions
- French (oral and written) an asset
