**About the Department of Facilities Management**:
Facilities Management is responsible for the planning, development, construction, design, operation, maintenance, safety, and stewardship of all the buildings, infrastructure, sites and services within Mount Royal's campus community. Through efficient and environmentally sustainable operation, we offer Grounds, Custodial, Building Operations, Facilities Planning, and Engineering professional services to provide a physical environment that supports and enhances our academic space for students and staff. Facilities Management is also responsible for the official space inventory which includes capacity, categories, types and current assignment of spaces. As part of keeping an updated inventory, space audits are done annually.

**About the Role**:
Reporting to the Manager of Capital Projects, the Moves and Signage Coordinator will work closely with the Facility Planners, Project Managers and Space Strategist to coordinate moves and signage around campus. The incumbent is expected to demonstrate strong work ethic and commitment to excellent customer service. The primary focus of the position is acting as team lead and project coordinator of the move management team and assist Project Managers.

**Responsibilities**:
**Coordinate Campus Moves**
- Conduct and lead moves team meetings to schedule and coordinate all campus moves
- Act as liaison and advisor for moves between departments, design, Project Management team and Environmental Services in relation to moves
- Involve other campus resources (ITS, EHS, BOP’s) as necessary to implement moves
- Develop and maintain positive and productive relationships across MRU with internal stakeholders (faculty, staff and management)
- Track moves in our facilities management software (Archibus)
- Flag health and safety items for our Environmental Health and Safety team
- Work with Project Managers and Building Operations for project and emergency moves
- Define/adjust moves processes to gain efficiencies in consultation with the manager
- Support the Space Strategist with project planning, decanting, restacks and occupancy planning
- Considers MRU’s short-term, mid-range and long-term needs, balancing the needs of the students, the departments and the institute.
- Provide post-move “concierge service”, troubleshoot deficiencies and receive feedback
- Provide regular updates to schools/departments, projects team and executive with move activities.
- Arrange for the clean-up of vacated premises, including but not limited to the relocation, auction, donation and/or disposal of unwanted furniture and equipment.
- Provide oversight of 3rd party contractors implementing moves.
- Reconcile invoices to work requested and provide management with feedback into costs and hours spent by 3rd party contractors.
- Track and validate all spending concerning moves, and move supplies.

**Coordinate Wayfinding and Destination Signage**
- Intake and process all department signage requests
- Work with Departments to implement name changes
- Update signage to reflect department moves & creation of new departments
- Maintain working knowledge of building code and accessibility guidelines as they relate to signage
- Order new signage and oversee all signage installations
- Manage signage vendor relations, including RFP evaluations and vendor performance forms
- Plan and order all project and destination signage
- Define/adjust signage processes and procedures to gain efficiencies

**Software and Inventory Management and Space Change Requests**
- Update moves and work requests modules in Archibus (facilities management software)
- Most responsible person for tracking/updating employee location records
- Update space information as appropriate
- Define and improve the education of move process and procedures including Facility Management Software training to the designated move requestors across campus
- Track furniture inventories
