Tearfund Canada is a $9 million member of the worldwide Tearfund family and the Canadian Foodgrains Bank. We concentrate our humanitarian aid and development efforts through national partners in 10 countries in Africa and Asia, as well as Canada’s First Nations.

**Location** Hybrid - Home office plus Markham office (Warden & Steeles)
**Position Type **Permanent part-time (22.5 hours/week).
**Reporting **This position reports to the CEO. Internally, works closely with the Board of Directors and staff Leadership team. Externally, communicates with all types of community stakeholders

**Objective**
Partner with the CEO to achieve organizational outcomes. Coordinate administrative / business, communications, and operations matters for the CEO and Board of Directors and serve as the point of contact for internal and external constituencies on matters pertaining to the CEO and management team.
**Responsibilities**
Executive Director Support (50%) - Complete a broad variety of administrative tasks including:
- As a member of the management team, provide administrative support for CEO’s committees / meetings (i.e. prepare schedules and agendas, record minutes, prepare and review supporting documentation including financial reports, coordinate meeting details, follow through on action items and communications)
- Analyze and compile reports, data, and research from within and outside the organization to understand trends and progress against goals
- Coordinate communications with staff, Board and key stakeholders
- Support the CEO’s fundraising and stewardship activities with both grant writing and program reporting
- Draft, create, prepare, edit, and proofread documents, reports, presentations, speaking notes, and correspondence using Microsoft Office and Google Suite (Drive, Docs, Sheets, Slides) on behalf of the CEO. Handle routine communications and report on actions taken
- Act as HR support to the CEO, including resume screening, interviews and HR filing.
- Complete, reconcile, and ensure timely submission of expense reports
- Support the CEO and management team in serving the Tearfund Family, Integral Alliance and CFGB
**Board coordination & support (30%)**
- Create agendas and governance related materials (including reports and resolutions) and ensure timely distribution of agendas and all meeting materials for Board, committee, working groups, and advisory body meetings. Take notes at meetings and use them to create draft minutes for approval by the Secretary. Complete related action items from meetings
- Support the Board of Directors and its committees, councils, and task forces. Balance taking direction from senior volunteers and guiding tasks to completion
**Administrative tasks (20%)**
- Participate and provide leadership and / or assistance in activities, initiatives, and special projects as required
**Skills, competencies and qualifications**
- **Passion**.** Fully aligned with the Mission, Vision, and Core Values of Tearfund Canada. Concern for and interest in issues of poverty, food security, and social justice
- **Technical Prowess.** We're cloud based. Digital proficiency in **Microsoft Office and G Suite** is a must, with demonstrated ability to merge documents and perform pivot tables. Digital communications, tracking, and tools are the norm. Experience with **Raiser’s Edge,** customer management systems, or other database systems is part of everyday life.
