Job Summary

In this role as Service Admin supervisor, you will support the team and be accountable for day-to-day operations of the service department. You will strive to continually support improvement objectives tied to the compliance, safety, and delivery of our service business. Reporting to and working closely with the Service Admin Manager of Western Canada, you will be a part of the integration, implementation, and continual maintenance of our Services Software platform.

**Your main responsibilities will include**:

- Overseeing all key customers and vendors from contract set-up, invoicing to tracking and discharge. You will create documentation and attend all customer KPI meetings as needed and address procedures, concerns and help forge successful relationships.
- Assisting in the development, monitoring, and tracking of KPIs
- Supervising the administration team - from work assignments, tracking new projects, coaching/mentoring, managing time off, reviewing salaries, annual performance reviews, defining training needs and conflict resolution.
- Cross-training staff and creating process flows. Continually monitoring training needs and aligning them to our other branches.
- Working with Accounts Receivable to ensure information is up-to-date.
- Work smart - monitor the team inboxes and schedule to ensure that the coordinators are up to date, working competently and within the defined ISO process.
- Ensure that the branch(es) are COR certified, have supporting documentation, and assist with any COR Audits. Also, prepare, assist and facilitate ISO audits, when needed.
- Act as backup for the service admin team when additional assistance is required, including but not limited to vacation coverage, staff shortages, and backlog.
- New hire orientation - onboard new admin staff as well as briefing new technicians on operational procedures.
- Inventory - monitor weekly Purchase Orders and Warehouse Transfers for inconsistencies. Check stock levels ad collaborate with Service Manager. Help support inventory management. Lead Physical Inventory Live Count annually.
- Special Projects and other duties - as assigned (product sales, special quotes, organizing/billing large jobs, Service software implementation, etc.)

**To be successful, you will possess**:

- 2-3 years’ experience in a people management role, preferably in a technical or industrial B2B environment.
- Highly detail-oriented with exceptional customer service skills - you must be passionate about making quality personal
- Exceptional communication skills and comfortable working cross-functionally with other teams.
- Proven organizational, planning and prioritizing skills.
- Self-motivated; ability to problem-solve and have strong analytical skills.
