**SCOPE AND GENERAL PURPOSE**
**Responsible for hotel events, including but not limited to; Barn Dances, Concerts, Childrens Events, Seasonal Events, and general entertainment events. Scouting, booking, and liaising with talent. Costing, tracking and reporting financials, to ensure events are profitable. Coordinating with hotel operations departments, such as maintenance, to ensure set-up and tear-down of resources for said events. Listing events on our website and setting up ticket sales through our website. Start-to-finish management of these events is critical.**
**MAIN DUTIES**
**1. Prepares all event documentation and coordinates with outside talent, internal sales and hotel operations departments to ensure consistent, high-level execution, throughout pre-event, event and post event phases.**
**2. Recognizes opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding events.**
**3. Acts as point of contact for talent, guests, and staff, throughout the event process. Makes presence known to guests/talent at all times during this process. Is available to solve problems and/or suggest alternatives to previous arrangements.**
**4. Proactively identifies operational challenges associated with his/her event and works with the hotel staff and guest to solve these challenges and/or develop alternative solutions.**
**5. Social Media Management - Working with Jamie Playfair (Celsius Group) to create engaging posts on Facebook and Instagram, as well as any other medias the hotel chooses to engage in, approx. 5 posts per week, minimum.**
**6. Developing relationships and dialogues with local wineries and other relevant businesses, to develop cooperative initiatives that help to build both of our business.**
**7. Coordinating with Jane Manning, Meeting Sales Manager to ensure available venues.**
**8. Advises operations staff as to ability to accommodate talent demands, including space, light, and sound requirements, fit of available space and materials such as staging. Assist sales staff in promoting the hotel, developing leads and securing future events.**
**9. Access and input data into a computer system to generate Entertainment/Event accounting reports.**
**10. Familiar with the Sales and Marketing Plan and carry out activities as agreed on a regular basis in order to achieve targeted market segments and revenue.**
**11. Be aware of competitor activity as well as entertainment at local bars/restaurants, etc, so we do not oversaturate the market and end up with low ticket sales.**
**12. To deal in a professional manner with talent, staff and guests who may be inquiring about Entertainment or Events.**
**13. Maintain an effective Trace System to maximize future events for the property.**
**14. Be fully conversant with all facilities offered by the property and actively promote associated venues in line with company policy.**
**15. Execute site inspections and assist with the organization of public relation events in line with property policy.**
**16. Ensure Entertainment correspondence/contracts as delegated are dealt with promptly and efficiently.**
**17. Ensure accurate documentation and passing of information to departments in relation to bookings made/cancelled and assist within the operation as necessary to ensure guest satisfaction.**
**18. Understand the principles of Yield Management and liaise directly with Mark Lowe, Guest Service Manager, to ensure availability of rooms before advertising packages with rooms.**
**19. Be aware of and fully utilize materials/tools available through the company. (as applicable)**
**20. Enter venue bookings directly into Opera Sales/Events and Marketing program to reserve space, as needed.**
**21. Prepare reports/statistical information and maintain accurate and up to date database in line with property policy.**
**22. Comply with attendance rules and be available to work on a regular basis.**
**23. Perform any other job related duties as assigned.**
