The Payroll team is responsible for overseeing the various day-to-day transactional and technical payroll activities of Unity Health Toronto. The Payroll team is responsible for the accurate and timely processing of bi-weekly pay for over 10,000 staff in a multi-union and multi-site environment, including accurate transactional processing and system integrity. Under the supervision of the Director of Accounting Services and Manager of Payroll, this department actively collaborates with colleagues across the Human Resources, Finance, and Business Informatics teams to intake information, deliver accurate pay to staff, meet its compliance obligations, and provide meaningful reporting output.

**Duties and Responsibilities**:
**Customer Service**:
Ø Maintains the centralized Payroll inbox with high level of responsiveness, ensuring that as many general questions as possible are answered within stated service delivery timelines;
Ø Triages queries to the appropriate staff (within or outside of Payroll) with a high degree of efficiency based upon the HR/Payroll Service Delivery Model, where necessary;
Ø Maintains a general understanding of HR and Payroll policies & procedures, collective bargaining agreements, current and upcoming initiatives, and internal documentation, in order to guide responses or escalation decisions;

Ø Creates and maintains FAQ documentation for all recurring inquiries to ensure accurate/standardized responses and consistent messaging to staff and other stakeholders.

**Administrative Duties**:
Ø Facilitates incoming and outgoing mail distribution and retrieval, and arranges for couriers as required;
Ø Maintains and orders office supplies and processes IT requests for the team;
Ø Arranges maintenance requests as required;
Ø Drafts and maintains team schedules under the direction of the Manager;
Ø Supports with drafting and correspondence of mass communications to internal teams, system users, and employees as operational requirements allow;
Ø Maintains the filing of all paper documentation in a timely and secure manner, including on-site documents and administration of off-site storage;

Ø Supports the organization of electronic documentation on network drives in a manner that is readily efficient for the team to access and maintain.

**Transactional Processing**

Ø Supports with the logging of correspondence where specific processes require it (e.g. retro letters from terminated employees, returned T4 slips or pay stubs)

Ø Supports with entry of routine transactions in the system, such as taxation updates, banking updates;

Ø Population of spreadsheets and data to support subsequent transaction processing by other team members.

**Qualifications**:
Ø Minimum 3 years of customer service experience;
Ø Practical experience with providing administrative support in a back-office environment, such as HR or Payroll, is highly beneficial;
Ø Knowledge of Payroll requirements and unionized environments is strongly beneficial;
Ø Ability to work in a fast paced and frequently changing environment;
Ø Must have a sense of urgency, be self-motivated, results driven individual, possess a strong work ethic and have a “can do” attitude;
Ø Must demonstrate a high level of integrity and ethics;

Ø Proven ability to maintain a high degree of confidentiality and professionalism.

Ø College diploma/degree required

Ø Payroll Compliance Practitioner - PCP or Certified Payroll Manager - CPM or Finance / Human Resources equivalen**t (may be in progress) - preferred**
