The Specialist for Corporate Affairs, also supporting Linguistics and Grants & Donations, is a central role in the Corporate Affairs department. Acting as an enabler and supporter of many aspects of the department in Corporate Affairs in general, this role works under the supervision of the Head of Corporate Affairs, while supporting the Linguistics team in identifying seamless ways for the translation services, but at the same time, ensuring that the Grants & Donation process is followed, and requests and agreement are properly managed.

More specifically:

- ** For Grants & Donations,** coordinate and enhance the process of receiving and activating the proper due diligence for each Grant or Donation request.
- List of the requests and manage each item in the folder for the Grants & Donation Committee to view and review the requests.
- Interact directly with external stakeholders or requestors to obtain information in order to assess and understand how funds are to be used by the requesting organizations, and to explain how to submit a request for funding.
- Conduct due diligence on each requesting organization, to ensure it is a valid and legitimate entity and by reviewing or requesting documentation to ensure compliance with AbbVie and industry requirements and regulations.
- Provide information to external stakeholders, including status updates, approval or rejection notifications, contract signatures, payment status, etc.
- Handle financial management of grants (e.g. accruals, budget preparation, budget adjustments, expenditures, etc.) for the purpose of complying with G&D program funding guidelines and AbbVie Policies.
- Work closely with colleagues and senior leaders to ensure accurate financial reporting and procedural compliance on all G&D spending.
- Chair G&D Committee meetings and provide details of each funding request.
- Post-grant follow-up with external stakeholders/requestors to ensure confirmation that the funded project occurred, and that funds were utilized as per the agreement (for a sample or selection of grants each year)
- **
For Linguistics,** carry out the reconciling quotes and supplier invoices in accordance with established procedures. Ensure the coordination and monitoring of purchase orders.
- Maintain the MultiTrans and LogiTerm translation tools (problem solving, indexing, updating, etc.). Maintain the MultiTrans and LogiTerm databases to ensure optimal alignment of alignment of English and French documents.
- Participate in processing documents using Logiterm's Logitrans tool.
- Use strong analytical skills, solve functional problems and think independently
- Assist in registering and updating entries as required regularly: for both Grants & Donations, and for Linguistics.

For Corporate Affairs** overall, support the team with opening or closing certain departmental Purchase orders, supporting SOWs creation and follow-ups with suppliers, and other requests for contracting purposes. Ad hoc requests as needed.

**Qualifications** SKILLS, KNOWLEDGE AND BEHAVIORS REQUIRED FOR THE ROLE**:

- Bachelor Degree in business, administration, finance, science or related field
- Minimum 3 - 5 years direct experience in healthcare-related field, preferably in the pharmaceutical industry
- High level of ethics and integrity: leads by example.
- Leadership and influencing skills.
- Ability to work collaboratively with senior affiliate management, affiliate employees, and functional leadership, and G&D teams within AbbVie Global and other affiliates. Good Team Player.
- Ability to communicate with tact, diplomacy, and sensitivity. High degree of interpersonal savvy.
- Active listening to understand stakeholders’ needs, issues, and opinions and ability to translate these into strategic support and guidance.
- Ability to take actions and demonstrate behavioural anchors that support AbbVie cultural descriptors and attributes.
- Familiarity with applicable external guidelines and laws covering HCPs and HCOs (e.g. Innovative Medicines Canada (IMC) Code of Ethical Practices)
- Ability to deal with complex issues and offer pragmatic solutions.
- Strong competency in communicating with HCPs & HCOs.
