Position: Administrative Assistant Location: Downtown Toronto – Hybrid Salary: $55,000 - $65,000 Job Type: 16-month contract with strong potential to go permanent Our client, a highly respected global organization within the investment and financial services sector, is seeking a professional and proactive Administrative Assistant to support their President & CEO's Office. This is an exceptional opportunity for a detail-oriented administrative professional who thrives in a fast-paced, high-visibility environment and enjoys working alongside senior leaders. About the Role: In this role, you will partner closely with the Executive Assistant to provide top-tier administrative support. You will manage complex calendars, coordinate global travel, prepare meeting materials, track action items, oversee expenses, support events, and handle sensitive information with complete discretion. This position offers exposure to an elite leadership team and the chance to contribute to large-scale organizational initiatives. What You Will Do: - Provide exceptional administrative support to senior executives, anticipating needs and ensuring seamless operations. - Manage complex and shifting calendars, meetings, appointments, and global travel logistics. - Prepare documentation, track follow-ups, and help the CEO stay fully prepared for internal and external engagements. - Handle highly confidential information with professionalism and discretion. - Support event coordination, presentations, correspondence, expenses, and compliance tasks. - Build strong relationships with internal and external stakeholders, including global partners, assistants, and vendors. - Contribute to improving administrative processes and supporting broader team priorities. What We're Looking For: - 2–3 years of experience providing administrative support in a fast-paced, corporate, or high-visibility environment. - Strong initiative with the ability to prioritize competing demands and manage shifting deadlines. - Exceptional communication skills—professional, polished, and confident. - Experience managing complex calendars, travel, and expenses. - Highly organized with strong attention to detail and accuracy - Proficient with Microsoft Office Suite (Word, Excel, PowerPoint). - Experience in investment banking, consulting, or financial services is considered an asset. - Post-secondary education required.
