OverviewExecutive Assistant/Project Manager to be a pivotal support for our CEO. You’ll be the go-to for comprehensive administrative, organizational, project coordination, and communication support, operating at the heart of a fast-moving, professional environment. This role offers significant growth potential in a collaborative, agile setting.Location: Saint John, Fredericton, Moncton, St. John’s, or Sydney office. We offer flexible work hours and a hybrid work arrangement (3 days in the office minimum).ResponsibilitiesWhat You\'ll Do: Make a Real ImpactProject management and execution of strategic initiatives: establish goals and objectives, outline project scope, manage timelines, monitor progress, track budgets, and provide regular updates to the CEO.Finalize and distribute business summaries and project reports.Executive PartnershipServe as a high-level, confidential administrative ally to the CEO.Manage the CEO\'s dynamic schedule, coordinate meetings, prepare materials, and provide proactive daily organizational support.Craft and polish executive-level communications, briefing notes, and presentations.Support strategic financial oversight by coordinating operating budgets and progress on business plan objectives and key results, including organizing quarterly team meetings.Drive execution by managing requests, tracking action items, and ensuring key deliverables are met by direct reports and support teams.Act as a liaison for the CEO with internal colleagues and external stakeholders.Champion organized information flow through meticulous file and database management, including electronic filing systems.Arrange all aspects of business travel.Orchestrate internal meetings with agendas, minutes, action items, attendance tracking, and logistics, including virtual workspaces, resources, room bookings, setup, and media support.Collaborate with other Executive Assistants to plan and execute large-scale events, meetings, and conferences.Spearhead coordination of special projects and finalizing and distributing reports.Occasional business travel may be required.Learning & DevelopmentCommit to self-development and professional growth.Participate in professional associations and committees to contribute to Dillon’s corporate profile.QualificationsStrong business acumen with the ability to analyze and interpret financial and business reports for accurate information delivery to the President.Exceptional organizational skills with attention to detail and the ability to prioritize multiple tasks in a fast-paced setting.Outstanding written and verbal communication; ability to prepare and polish professional materials.Ability to build positive working relationships at all levels.Tech-forward and adaptable; proficient with MS Office Suite and familiar with emerging technologies like AI.ExperienceThree to five years of experience in project and administration management.Creative, automation-minded thinker with enthusiasm for technology.Prior experience in fast-paced financial, startup, or technology sectors is valued.If you enjoy building and nurturing relationships with thought leaders and stakeholders, this position may be right for you.Why choose DillonDillon is powered by people who are technically proficient, passionate about socially important projects, and motivated to deliver superior results.
