Invoicing Specialist Location: Toronto Salary range: CA$50,000 – CA$60,000 Job type: Full-time Seniority level: Entry level Industry: Insurance / Accounting The Opportunity: The Invoicing Specialist is responsible for overseeing the accuracy, timeliness, and completeness of all client and insurer billing activities. This position ensures invoices are processed efficiently, reconciled properly, and aligned with internal policies and industry standards. The ideal candidate is highly detail-oriented, organized, and capable of thriving in a fast-paced, deadline-driven environment. Key Responsibilities: Prepare, review, and issue client and insurer invoices in accordance with brokerage agreements, billing schedules, and financial requirements—including complex billing involving multiple carriers, engineering fees, and non-admitted markets. Validate billing data to ensure accuracy and reconcile information with internal systems and supporting documentation, adhering to accounting standards and regulatory guidelines. Investigate and resolve ad hoc billing discrepancies using Applied EPIC and advanced Excel functions. Respond to invoice-related inquiries and maintain well-organized supporting documentation. Partner with Account Executives, Brokers, and Underwriting teams to confirm billing details and resolve inconsistencies. Assist with premium financing processes and ensure all related documentation is accurate and complete. Support month-end and year-end close activities, including reporting and account reconciliations. Prepare billing and commission documentation for annual audit requests. Manage monthly billing for the Group Benefits and Retirement division, ensuring alignment with insurer statements. Identify inefficiencies in the billing workflow and recommend process improvements to enhance accuracy and productivity. Perform additional reporting and administrative tasks as required. Internal Communication & Collaboration: Communicate effectively with internal teams to resolve billing issues in a professional and timely manner. Identify documentation gaps or errors and advise brokers on required corrections from an audit perspective. Flag internal process inefficiencies and present improvement recommendations to Operations and Accounting leadership. What We Need From You: Minimum of 2 years’ experience in the insurance brokerage sector. College diploma or bachelor’s degree in business, accounting, or a related field. Proven background in invoicing or billing, ideally within insurance or financial services. Strong attention to detail and high numerical accuracy. Excellent communication and interpersonal skills, with the ability to work cross-functionally. Strong organizational capabilities and the ability to manage multiple priorities and deadlines. Advanced Excel skills (e.g., PivotTables, VLOOKUP, SUMIF, data analysis, financial modeling). Intermediate proficiency in Microsoft Word and PowerPoint. Knowledge of commodity tax rules as they relate to insurance across Canadian provinces. Strong time-management, analytical, and problem-solving abilities.
