Analyst, Project & Portfolio Management On behalf of our client, Affinity is seeking an Analyst, Project and Portfolio Management who will be instrumental in driving operational excellence across our project portfolio, implementing process improvements, and providing critical insights that help senior leadership make informed decisions. The Analyst will work at the intersection of data, finance, and project delivery, partnering with project managers, IT, Finance, and business leaders to enhance how we plan, track, and report on strategic initiatives. Responsibilities Project Management Practices and Improvements Support the strategic migration of project portfolio and financial data from Smartsheet to ClickUp, ensuring data integrity throughout the transition Design, implement, and continuously enhance our project management framework, including governance, processes, standards, templates, and tools Document standard operating procedures, reference guides, and knowledge base articles for the PPM SharePoint site Create and maintain the lessons learned database Develop and maintain a resource planning and allocation system that provides real‑time visibility into team capacity and constraints Automate manual processes to increase efficiency and reduce administrative burden Support ad‑hoc PPM initiatives and special projects as needed Maintain accurate and consistent project portfolio data, ensuring a single source of truth for all stakeholders Analyze project budgets, accruals, costs, forecasts, invoices, and purchase orders to identify trends, variances, and risks Coordinate with Finance on project cost center creation and maintaining authorized approver lists Support procurement activities including vendor onboarding, purchase orders, and invoice processing Establish audit compliance processes Conduct variance analysis and recommend corrective actions to keep projects on track financially Reporting & Stakeholder Communication Develop executive‑level dashboards and reports that provide clear visibility into portfolio performance, status, and key metrics Prepare presentation materials for senior management and the Investment Committee that translate data into actionable insights Monitor project documentation including plans, schedules, financials, risk registers, issue logs, and change requests Provide regular portfolio health assessments highlighting risks, dependencies, and opportunities Training & Support Onboard and train project managers and team members on PPM processes, tools, templates, and best practices Provide ongoing guidance and support to project leaders on project financial management and organizational processes Document and map operational processes Support Investment Committee operations including meeting logistics and documentation Coordinate contingent worker onboarding including account requests and access Qualifications 2‑4 years of experience in project portfolio management, PMO operations, business analysis, or project coordination roles. Experience should include exposure to IT projects, system implementations, and project management methodologies. Bachelor's degree in business, commerce, information technology, or related field (specializations in business technology management, MIS, or project management preferred) Advanced Microsoft Excel skills including formulas, PivotTables, data analysis, and visualization Strong proficiency with Microsoft Office Suite (PowerPoint, Word, Outlook), SharePoint, and Teams Excellent analytical and problem‑solving abilities with demonstrated experience in data analysis and reporting Outstanding communication skills with the ability to present complex information clearly to diverse audiences, from project teams to senior executives Exceptional organizational skills with meticulous attention to detail and proven ability to maintain high accuracy under pressure Exercises discretion and integrity in handling confidential information Proven ability to manage multiple prioritites, adapt to change, and meet tight deadlines Self‑starter mentality with initiative to work independently while also thriving in collaborative team environments Nice‑to‑Have Qualifications Experience with ClickUp and Smartsheet or similar project management platforms (Jira, Asana, Monday.com) Accounting knowledge including General Ledger coding, budgeting, forecasting, CapEx/OpEx, and purchase order management Hands‑on experience with project financial management and ERP financial systems Process automation experience using tools like Power Automate or similar platforms Project management certification (PMP, CAPM, or equivalent) Experience supporting Investment Committees or governance bodies Affinity Earn Know someone who’s great for this, or any of our open roles?
