Position Title: Senior Specialist, Real Estate Transactions (T & I) (Telework/Hybrid) Employment type: Full time Seniority level: Mid-Senior level Job Purpose: The Senior Coordinator is a pivotal member of the Real Estate Transactions team, operating with a high degree of autonomy. This role actively supports the Senior Manager in complex, high-value transactions and strategic initiatives, while also independently managing a portfolio of smaller to mid-scale real estate transactions, notably leasing renewals. Main Responsibilities and Impact Independent Transaction Management: Serves as the primary leasing counselor for assigned low to mid-scale renewal transactions. Includes independently seeking market information, leading negotiations with landlords, and managing the full lifecycle of these agreements. High-Impact Transaction Support: Provides crucial coordination and hands‑on support for complex and high‑impact real‑estate transactions led by the Senior Manager, including major acquisitions and dispositions. Ensures accurate and timely flow of information and documentation, prepares and drafts legal documents and transaction summaries, manages due diligence processes, and ensures strict compliance. Lease Portfolio Administration: Oversees administration of leasing portfolio, including managing critical lease events, preparing and drafting lease renewals and amendments, and ensuring accurate lease data management. Operational Tracking and Reporting: Develops, tracks, and analyzes operational metrics and generates reports, including the Quarterly Report to support Senior Manager in monitoring team performance, portfolio activity, and transaction progress. Data Management and Integrity: Designs, develops, and maintains databases and tracking tools to ensure accurate real‑estate data, leases, transaction records, and property details. Ensures data accuracy, consistency, and integrity. Assumptions Preparation: Prepares financial assumptions related to payables and receivables for forecasting and reporting. Risk and Compliance: Manages review and tracking of insurance certificates, liaises with Risk Management, and ensures compliance with corporate policies and legal requirements. Process Improvement: Proactively identifies and implements new processes to streamline workflows, enhance efficiency, and improve data quality. Operational Tool Development and Maintenance: Develops, improves, adds, and maintains operational tools, such as the Real Estate Transactions Playbook, microsites, and automated reports to facilitate knowledge sharing and support efficient operations. Stakeholder Communication: Serves as key liaison for internal departments and external stakeholders, facilitating effective communication and collaboration, and resolving complex issues. Relationship Types Contact landlord to exercise options and negotiate; requires persuasion and leadership for low to moderate impact. Working Conditions Typical schedule may require extended hours to meet deadlines. Remote work: typical office environment. Travel: occasional trips to sites and meetings. Education Bachelor's degree in business administration, real estate, or a related field. Qualifications, Experience and Skills Minimum five (5) years of progressive experience in commercial leasing transactions, real‑estate administration, contract management, or a related area. Comprehensive knowledge of real‑estate practices, procedures, and legal documentation. Negotiation skills. Strong analytical and problem‑solving skills with the ability to interpret complex contracts and data. Advanced proficiency in Microsoft Office Suite and Google Suite. Exceptional organizational and time‑management skills while managing multiple priorities and meeting tight deadlines. Superior communication and interpersonal skills. Bilingualism (French and English) is required. Demonstrated ability to work independently, exercise sound judgment, and take initiative. Proven ability to identify and implement process improvements. Strong data management and analysis skills, including preparing reports and financial assumptions. Certifications or memberships in real‑estate organizations considered an asset. Background Check Mandatory Criminal record check. Other background checks may be conducted based on operational requirements.
