Duties and Responsibilities (Include but not limited to) Coordinating processes with multiple regional Coding and reconciling payments to JDE Accurate invoicing of customers, thereby reducing the number of complaints regarding billing errors Preparing documentation to assist Accounts Receivable/Payable (e.g., Invoices, Purchase Orders, etc.) Timely review, printing, and delivery of invoices Engaging partners in billing, A/R management, and collections activities Assisting the manager in planning and scheduling Assisting with material/equipment procurement Productivity reporting Analyzing financial data Managing the JDE Computerized Maintenance Management System (CMMS) Handling customer calls politely and efficiently Working in a multi‑tasked, fast‑paced, and changing environment Documentation control—managing photocopy and collating documents for distribution, mailing, and filing Investigating process systems/process‑related problems/inquiries and recommending solutions as part of internal strategic initiatives Managing project administration tasks, including coordinating meetings, taking minutes, compiling monthly reports, forwarding communication releases, and maintaining project tracking logs (issues, changes, controls, etc.) Cost control Other duties as assigned Competency Requirements Maintaining a professional demeanor at all times with employees, vendors, sub‑contractors, and clients Cope under pressure while remaining positive and focused, dealing effectively with setbacks Portraying a positive image and motivating colleagues to ensure continued success Embracing change and adopting new practices willingly Holding self and others accountable Approaching problems logically under pressure and seeking innovative solutions Communicating effectively (verbally and written) at all levels within the organization and with external parties, including enforcing authorities Understanding the needs and perspectives of both internal and external customers Promoting teamwork and collaboration Valuing and respecting others, encouraging and supporting diversity Post‑secondary education in a related field Work Experience Requirements 3–5 years’ experience in facilities services management administration 3–5 years’ experience in accounting and/or relevant financial management experience (e.g., billing, A/R management, etc.) Skills, Abilities, and Other Requirements Strong understanding of end‑to‑end financial processes and numerical aptitude Strong technical skills in Microsoft Excel and Word Self‑starter with the ability to manage multiple projects and meet deadlines Ability to work independently with limited supervision Effective written and verbal communication skills Excellent interpersonal skills Strong written and oral communication skills Proven interpersonal, organizational, analytical, and problem‑solving skills Demonstrating commitment to providing excellent client service by building and maintaining productive relationships with internal and external clients Demonstrating ability to manage relationships and communicate at all levels Confidence in ability to work in a highly technical and changing environment Working well under pressure Working in a multi‑tasked, fast‑paced, and changing environment Working independently and with minimal direction Black & McDonald welcomes and encourages applications from persons with disabilities.
