About the Role As a Sales Administrator, you will play a pivotal role in driving LJ’s commercial success through accurate quoting, proactive customer communication, and expert coordination of sales activities within our CRM and ERP platforms. This position bridges administrative coordination and technical sales — ensuring that customer inquiries, RFQs, and orders are handled efficiently, professionally, and in alignment with LJ’s standards for quality and responsiveness. While this role supports the outside sales team, it operates independently in managing quoting workflows, CRM data, and ERP order processes. This is not an administrative-only position — it’s a technically skilled inside sales role for someone who thrives on precision, systems knowledge, and customer engagement. Key Responsibilities Prepare and issue accurate customer quotations using Epicor ERP and HubSpot CRM systems. Manage inbound RFQs, ensuring timely response and distribution to the appropriate sales channels. Collaborate with outside sales representatives to refine project scope, pricing, and delivery schedules. Follow up on quotations and opportunities to convert leads into confirmed sales. Track and report quote conversion rates, customer response times, and other key sales metrics. Maintain accurate and current customer, quote, and opportunity records in HubSpot CRM. Manage ERP workflows for quotes, orders, and invoicing to ensure seamless handoff between departments. Generate reports and analytics to support forecasting, performance tracking, and continuous improvement. Act as a subject matter expert for CRM/ERP functionality, helping optimize usage across the sales team. Serve as the primary point of contact for inbound customer inquiries and sales coordination. Ensure clear and professional communication throughout the quoting and order process. Work closely with operations, logistics, and accounting to ensure smooth order fulfillment. Coordinate with marketing and management to improve lead response, customer engagement, and process efficiency. Maintain strong relationships with repeat customers, suppliers, and internal stakeholders. Desired Skills & Qualifications 3–5 years of experience in inside sales, quoting, or sales coordination within manufacturing, automation, or industrial equipment environments. Strong technical and process expertise in ERP (Epicor preferred) and CRM(HubSpot preferred) quoting workflows. Proven ability to prepare accurate technical and commercial quotes. Excellent organizational, communication, and customer service skills. Proficiency with Microsoft Office (Excel, Outlook, Word). Strong attention to detail, data accuracy, and follow-through. Ability to manage multiple priorities in a fast-paced sales environment. Post-secondary education in business, sales, or a related field (preferred). Positive attitude, professional demeanor, and commitment to continuous improvement. Working Conditions Work is performed primarily in an office environment. Employees may occasionally be exposed to shop-related noise, dust, or vibrations. Standard office equipment is used, including computers, phones, photocopiers, and filing systems. Work involves prolonged periods of sitting, typing, and computer use, as well as occasional standing, walking, and light lifting of office supplies (up to 20 lbs / 9 kgli> May require occasional visits to the shop or yard to interact with staff, attend meetings, or review projects, with PPE provided as required. The work environment is generally climate-controlled, with brief exposure to varying temperatures when accessing shop or yard areas. Position may require occasional overtime or flexible hours.
