People and Culture / Learning and Development The People and Culture (P&C) team is responsible for managing the entire employee lifecycle from recruitment through retirement, collaborating closely with various departments such as New Site Development, Construction, Operations, Sales, Finance, Tech & Systems, and Legal to ensure a cohesive and supportive work environment. Our P&C team is distinguished by its proactive and strategic approach. Unlike in many organizations where P&C functions are limited to administrative oversight, our P&C professionals are empowered with the authority and responsibility to drive critical processes directly. This includes talent acquisition, employee development, performance management, and organizational planning. By leveraging in‑house expertise, our P&C team can align long‑term organizational sustainability with innovative P&C practices and cost‑effective strategies. This alignment ensures that our workforce is engaged, motivated, and equipped to contribute to the company’s success. Each member of our P&C team plays a pivotal role in making high‑impact decisions, resulting in a more dynamic and productive work environment. Position Overview This role can be based in Montreal, QC or Quebec City, QC in alignment with our flexible work policy (3 days in office, 2 remotely). As an Onboarding Coordinator, you will play a pivotal role in shaping the new hire experience by blending operational excellence with learning and development expertise. You will own the onboarding journey from pre‑boarding through integration, ensuring a seamless, engaging, and compliant process. In addition, you will support the broader L&D function by coordinating learning programs, creating engaging materials, and using data to drive continuous improvement. This role is ideal for someone passionate about employee experience, learning, and process optimization, with a strong foundation in HR and a desire to grow in the L&D space. Essential Job Functions Onboarding & New Hire Integration Own and manage the end‑to‑end onboarding process, from offer acceptance through the probationary period. Coordinate pre‑employment background checks and ensure timely completion. Prepare and deliver onboarding materials, resources, and access to systems. Facilitate orientation sessions that introduce new hires to company culture, values, and policies. Conduct regular check‑ins with new hires to ensure engagement and address concerns. Partner with learning administration to track course enrollments and maintain program records. Assist in the creation of engaging learning materials, presentations, and e‑learning modules. Coordinate logistics for onboarding programs and events, including scheduling, communications, and materials. Monitor and measure the effectiveness of onboarding and learning initiatives using feedback and analytics. Support the continuous improvement of onboarding learning experiences. Compliance & Process Optimization Stay current on federal, state, and local employment laws and ensure onboarding practices remain compliant. Maintain accurate employee records and documentation related to onboarding. Conduct regular audits to ensure compliance and identify areas for improvement. Use HRIS and other systems to streamline onboarding workflows. Employee Engagement & Experience Serve as a primary point of contact for new hires, providing guidance and support throughout their onboarding journey. Collect and analyze feedback to enhance the onboarding and learning experience. Coordinate employee engagement activities that foster connection and belonging. Collaborate with P&C, L&D, and other departments to ensure a cohesive employee experience. Additional Duties Handle additional duties as assigned by Management. Travel required is expected to be up to 5% but may increase over time as the business evolves. Job Requirements Education Bachelor’s degree in human resources, Education, Organizational Development, or related field preferred. Experience 1‑2 years of experience in Learning & Development, Training, or HR‑related roles. Skills Strong organizational and project management skills. Excellent communication and interpersonal abilities. Proficiency with HRIS and learning management systems (Workday preferred). Ability to handle sensitive and confidential information with discretion. Analytical mindset with a focus on continuous improvement. Familiarity with adult learning principles and instructional design is a plus. Experience with SharePoint and Canva a plus.
