Prospective Student Advising and Conversion Represent Saskatchewan Polytechnic as an executive member of the Saskatchewan Universities and Technical Institute Liaison (SUTIL) and the Post-Secondary Education Committee (PSE). As a SUTIL Executive member, develop and execute targeted high school outreach campaigns, in Saskatchewan and through Western Canada, to enhance Sask Polytech education awareness. Plan and conduct extensive travel to schools and community organizations to connect with prospective students throughout Western Canada (mainly Saskatchewan, Alberta, and Manitoba). Showcase programs and services creatively alongside other Saskatchewan Polytechnic schools and faculty. Serve as the primary contact for prospective students, parents, guidance counselors, and community agency organizations, guiding them through educational decisions primarily at career fairs and off‑site events, while also supporting the Student Recruitment Advisors on‑campus throughout the year when available. Shape first impressions through informative interactions and personalized support across various communication channels (online, in person, phone, email, Zoom), employing patience and active listening. Assist with application processes and admission requirements (transcript assessments and eligibility), including transcript guidance, and address prospective students’ needs with evidence‑based recommendations (e.g., Dental Hygiene portfolios, Literacy and Adult Education). Advocate for prospective students in the admissions process, addressing errors and proposing policy changes to enhance access and reduce barriers in line with the Strategic Enrollment Management (SEM) Plan. Identify key touchpoints to enhance engagement with prospective students. When on‑campus, coordinate and facilitate campus tours and provide tour training for other departments. Disseminate critical information to diverse student populations, promoting inclusivity and cultural awareness through workshops and events. Event and Presentation Planning, Coordination, and Implementation Support the Student Recruitment Advisor in managing on‑campus provincial events, handling logistics such as bookings and setup. Facilitate off‑campus events and school visits, including planning respective travel for these events and supporting these initiatives in‑person and virtually. Off‑campus event preparation and facilitation, including booth set up and creative display of materials, working independently to maintain a rigid schedule over numerous days, working non‑standard hours. Maintain a Recruitment Events calendar and coordinate internal and external initiatives, including off‑campus career fairs and presentations. Deliver engaging presentations to promote Saskatchewan Polytechnic’s unique value proposition and foster relationships with stakeholders. Manage event displays and recruit department collaboration when necessary to enhance event effectiveness. Operational Planning Facilitate inter‑departmental communication (programs, services, Literacy and Adult Education, enrollment/admissions, Student Services, Indigenous Strategy, and International Education) to ensure consistency of support and accurate information dissemination. When on‑campus, work alongside the Student Recruitment Advisors to maintain the generic Sask Polytech email (askaquestion@saskpolytech.ca) for timely, comprehensive responses to inquiries including but not limited to enrollment/admissions, application support, awards, student life, supports and services, accessibility needs, Indigenous supports, financial aid, and community outreach. Plan and execute provincial travel for recruitment events, ensuring safety and logistical readiness. CRM Administration, Data Tracking and Analysis Develop and maintain contacts using CRM platforms, tracking participant attendance by capturing client leads at fairs or off‑site events and facilitating incentives for sharing their contact information. Use data collection and analysis to inform recruitment strategies and improve service delivery. Maintain accurate databases for prospective students and ensure effective communication across departments. Communications and Marketing Planning in Development and Implementation Plan and distribute regular correspondence, including presentations, collaborating with marketing teams on targeted campaigns. Develop, edit, and distribute annual marketing materials such as viewbooks, posters, and other materials, paying close attention to detail and market needs. Domestic Recruitment Strategy Align recruitment strategies with the SEM plan and institutional goals, involving team collaboration for annual strategy development. Implement evaluation tools for programs and services, using data‑driven approaches to enhance recruitment and service delivery. Requirements Must have the ability to travel and possess a valid Class 5 driver’s license which is required for traveling between campuses, external stakeholder visits and supporting recruitment events off campus.
