Hastings and Prince Edward District School Board (HPEDSB) serves approximately 15,400 students each day at 38 in-person schools (31 elementary, two K‑12; four 7‑12, one secondary). Supporting student achievement is the goal of approximately 1,750 teaching and support staff who, together with caring volunteers and community partners, share a passion for teaching and learning. The district covers a geographic area of 7,220 square kilometres bordered by Maynooth to the north, Deseronto to the east, Prince Edward County to the south and Quinte West to the west. The region connects outdoors with small cities, quaint villages and rolling rural landscapes, offering cultural, recreational and technological opportunities. Job Overview The Executive Assistant provides high‑level, confidential administrative, strategic, and logistical support to the Senior Administrator (Director of Education or Superintendent) and their immediate office. This role serves as the primary point of coordination for the Senior Administrator’s schedule, governing body processes, and critical internal and external communications. The Executive Assistant is a liaison between the Senior Administrator, the Governing Body, Senior Leadership, school administrators, and external stakeholders, upholding the highest degree of confidentiality regarding sensitive personnel, student, and strategic information. Key Responsibilities Manage and prioritize the Senior Administrator’s complex calendar, including scheduling meetings, coordinating travel, and preparing briefing materials. Strategically manage access to the Senior Administrator’s office, triaging routine matters and escalating urgent issues. Prepare, edit, and format high‑level documents, presentations, memos, reports, and confidential correspondence, often involving sensitive HR, legal, or financial information. Draft confidential reports, policy proposals, and internal briefing documents for the Senior Administrator’s review. Conduct initial budget analysis of the Senior Administrator’s portfolio and related departmental projects, monitoring expenditures and preparing financial forecasts. Support the initiation of strategic projects and system initiatives mandated by the Senior Administrator, including defining scope and identifying stakeholders. Initiate research projects on new policies, best practices, and emerging trends within the education sector. Provide backup coverage to other departments as required. Board and Governance Support Manage the lifecycle of Board, Trustee, and Committee meeting materials, including scheduling, agenda preparation, and confidential reports. Act as primary liaison for scheduling and logistics related to the Senior Administrator’s office. Maintain and organize official records, minutes, and confidential files to ensure legal and audit readiness. Assist in preparing documentation and logistics for official business, statutory declarations, and public announcements. Support the multi‑year Strategic Plan execution, consulting with and communicating effectively with external agencies. Communication and Liaison Manage written and electronic communications for the Senior Administrator, drafting initial responses to sensitive correspondence. Facilitate efficient communication between the Senior Administrator’s office and Senior Leadership Team, tracking deadlines and action items. Coordinate special projects, events, and initiatives on behalf of the Senior Administrator across multiple departments and external partners. Supervision Provide direct supervision, guidance, and performance management for designated administrative support staff. Perform other duties as assigned. Qualifications Minimum completion of a two‑year post‑secondary education program in Business Administration or a related discipline. Minimum of five years of progressive, high‑level administrative experience, preferably within the education sector. Proven success in a demanding administrative role with a large volume of responsibility. Exceptional interpersonal, organizational, and time‑management skills, with the ability to prioritize strategically and coordinate multiple projects. Excellent verbal and written communication skills, providing clear, accurate, and politically astute information and building relationships internally and externally. Meticulous attention to detail and a strong commitment to producing accurate, high‑quality work under all circumstances. Satisfactory Vulnerable Sector Background check.
