About The Role The Sales Administrator is a pivotal member of our team, responsible for supporting the sales organization through accurate account management, timely order fulfillment, and seamless coordination with vendors and internal teams. In this role, you will track and maintain all account activities in the PSA system, manage sales opportunities and proposals, and ensure agreement renewals are handled efficiently. You will coordinate procurement, monitor order progress, and assist with data entry and administrative tasks to support smooth sales operations. Working closely with the sales team and cross‑functional partners, you will help maintain accurate records, foster vendor relationships, and contribute to operational excellence. Sales Administrator Core Responsibilities Accurately track and maintain all account activities within the Professional Services Automation (PSA) system to ensure data integrity and operational transparency. Proactively monitor and manage agreement renewals, ensuring timely follow‑up and seamless continuation of services. Create, review, and manage sales opportunities, maintaining diligent follow‑up to support the sales pipeline. Utilize the sales quoting tool to generate, review, and deliver precise proposals that align with client requirements. Review all proposals for completeness, ensuring they fully meet client specifications and expectations. Ensure the accurate and timely fulfillment of all client orders. Record procurement and sales requests in the PSA system and assign appropriately to the sales department for action. Coordinate with vendors regarding pricing, procurement of hardware and software, order tracking, receivables, backorders, and returns to maintain smooth operational workflows. Build and maintain strong vendor relationships, identifying and managing opportunities for Market Development Fund (MDF) funding where applicable. Perform accurate and efficient data entry of invoices, bills, and other sales‑related documentation. Provide comprehensive administrative and operational support to the sales team as required. Complete all mandatory training on company products, tools, software, and internal procedures to maintain proficiency and compliance. Demonstrate exceptional organizational skills, attention to detail, effective communication, and a collaborative, team‑oriented approach in all responsibilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with learning new sales tools, PSA systems, and internal software platforms. Familiarity with Professional Services Automation (PSA) systems or similar sales and account management platforms is highly desirable. Exceptional organizational skills, with the ability to manage multiple priorities, maintain meticulous attention to detail, and ensure accuracy in a fast‑paced environment. Collaborative team player who enjoys supporting colleagues, sharing knowledge, and contributing to the success of the sales organization. Demonstrated problem‑solving skills, with a proactive approach and the ability to handle tasks of varying complexity with a client‑first mindset. Minimum 1–2 years of prior experience in a sales support, client service, or administrative role, preferably within a professional services or technology environment.
