Overview The Executive Assistant provides high-level administrative and strategic support to executive members. This role requires discretion, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be proactive, resourceful, and detail-oriented, with a strong sense of confidentiality and professionalism. The Executive Assistant will act as a liaison between the President and internal and external stakeholders, coordinate executive-level communications, manage schedules and travel, and support the execution of high-impact initiatives and company-wide priorities. Responsibilities Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, travel planning, and communications. Prepare and edit correspondence, presentations, reports, and briefing materials for internal and external meetings. Track key projects, initiatives, and deadlines; support strategic planning and ensure timely updates to the President. Conduct research and compile data to assist with business development and executive decision-making. Coordinate logistics for board meetings, leadership sessions, and executive events. Serve as a primary point of contact for the President’s office, fostering strong relationships with staff, clients, and partners. Manage expense reports, vendor invoices, and confidential records in alignment with company policies. Support overall office operations and provide backup assistance to other administrative staff as needed. Perform other related duties as assigned to support departmental and organizational goals. Duties, responsibilities, and activities may change at any time with or without notice. Required Qualifications Minimum 5+ years of executive-level administration support experience, preferably in construction, engineering, or related industries. Experience working with C-suite or executive leadership required. Desired Qualifications Associate or bachelor’s degree in Business Administration, Communications, or a related field preferred. Strong written and verbal communication skills. Exceptional organizational skills and attention to detail. High level of discretion and ability to handle sensitive information. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and video conferencing tools (Zoom, Teams). Ability to multitask, prioritize workload, and adapt to changing priorities. Confident, professional demeanor and sound judgment. Working Conditions This role is based in an office setting with occasional travel or off-site meeting support required. Must be able to sit or stand for extended periods and use standard office equipment. This is an exempt position, requiring a commitment of 40+ hours per week, with flexibility for extended hours and alternative shifts depending on the executive’s needs.
