Sr. Regulatory Specialist - Approvals & Compliance The Sr. Regulatory Specialist ensures that all finished products sold by Embassy Ingredients comply with all applicable legal, regulatory, and certification requirements at the time of sale. This role oversees the approval and compliance of all finished products manufactured at Embassy Ingredients, including the management of product change controls. In addition, the specialist leads and continuously improves the supplier approval program, while serving as the primary support and backup for all regulatory-related customer requests. What you are responsible for: Oversee the regulatory compliance program to ensure all products manufactured meet national and international regulatory requirements. Approve new finished goods by ensuring all new products meet all legal and regulatory requirements for the country of sale through the commercialization process. Keep the team up-to-date with approval status by sending out a weekly commercialization report. Manage all finished product technical data and regulatory packages; ensure information in the kosher database, nutritional Excel, and the spec database are up-to-date and meet all national and international regulatory requirements. Manage all finished product change control requests. Oversee the product inactivation process. Manage Labelview and all label generation (including information displayed on labels). Oversee and manage our supplier approval program: Approve new raw materials and suppliers. Complete annual and ongoing supplier vulnerability risk assessments. Ensure all documents are up-to-date on DCN. Manage all aspects and continuous improvement of the DCN system and supplier approval program. Conduct investigations and full RCA-CAPA for all supplier complaints. Send a weekly new raw material update to the team. Ensure our SFCR and FDA license are up-to-date at all times. Lead all regulatory audits. Member of the Food Safety team and Internal audit team – conduct facility inspections. Provide regulatory support and guidance to the R&D teams. Act as an immediate support function for Operations to ensure alignment with food safety and regulatory requirements. Support all food safety initiatives, including (but not limited to) BRCGS, HACCP, GMPs, Allergens, GFCP, Kosher, Halal, Customer Requirements (such as Costco standards and Kraft Standards). Be an expert on all quality-related electronic systems – including spec database, SharePoint, Office 365, Dynamics CRM, Planner, Business Central. Duties, responsibilities, and activities may change, or additional duties may be assigned at any time. Manage the QA inbox – organize all incoming emails and requests and delegate tasks as needed. Manage all customer documentation requests through email and customer portals, maintaining professional and proactive communication. Build and maintain strong relationships with customers by providing responsive, knowledgeable support on product inquiries, documentation, and compliance matters. Manage all customer complaints – ensure all complaints are documented and responded to within an appropriate timeframe. Complete a full RCA-CAPA investigation for all complaints received and send the team a weekly customer complaint notification email. Lead and coordinate the mock traceability and recall program and ensure traceability compliance for all raw materials and finished goods. What you need to bring to Embassy: College diploma or university degree in Chemistry, Food Science, or Microbiology. Or relevant industry experience. Positive and professional attitude. High sense of urgency and attention to detail. Ability to work under tight timelines and pressure. Ability to work on a flexible work schedule when required.
