Do you have experience working closely with clients and internal teams to ensure that payment transactions are processed efficiently and accurately? We are looking for a Financial Operations Specialist to join Toptal’s fast-paced environment, where we set the bar high and strive for exceptional service standards. The role focuses on processing payments efficiently, resolving discrepancies, and upholding strong client relationships through clear communication. Responsibilities Maintain professionalism in communication with internal teams and clients. Stay organized and manage tasks from start to finish with efficiency and quality. Use internal tools and payment applications to complete daily tasks and continuously optimize resource use and issue resolution. Assist with financial reconciliations, document control, and other basic accounting and clerical functions to support the business. Drive continuous improvement of financial operational processes to enhance scalability and efficiency, keeping internal and external clients at the center. Provide exceptional service to team members, clients, and sales partners to uphold Toptal’s reputation. First-week, first-month, first-three-months, first-six-months, and first-year expectations In the first week: Onboard and integrate into Toptal; gain understanding of Finance processes related to client billing, payment application, reconciliation, and new business development. In the first month: Master daily tasks for client invoicing and posting payments; provide client support regarding billing, payments, and payment methods. In the first three months: Collaborate with sales and internal teams to support disputes and payment issues; own relationships with specific clients for billing and account requests. In the first six months: Identify trends and system issues to support process improvements; propose solutions to improve billing processes and user interfaces; create processes for new lines of business. In the first year: Take ownership of processes, including KPIs and continuous improvement; train others to provide world-class customer service at Toptal. Qualifications and Job Requirements Bachelor’s degree required. 3 years of experience with finance or accounting responsibilities (accounts receivable, reconciliation, payment processing, purchase orders, etc.). Experience with accounting systems, such as QuickBooks or similar. Strong analytical skills with proficiency in Google Sheets/Excel to analyze data and make recommendations. Highly organized with meticulous attention to detail. Experience providing elite customer service and a positive can-do attitude. Effective time management and ability to meet deadlines. Ability to create, improve, and manage process documentation. Experience and passion for working in a technology organization preferred. Remote work experience preferred. Outstanding written and verbal communication skills. Ability to work in a fast-paced, rapidly growing company and handle diverse challenges and deadlines.
