Position Type: RegularLocation: St. AndrewsSalary: $47,372.00 to $57,252.00 Annually As part of the Registrar's Office and reporting to the Head of Admissions and Recognition of Prior Learning, the Records Specialist is responsible for the proactive coordination of all aspects of the student record, including personal, academic, and financial information. Records Specialists provide excellent service to all clients to ensure students, staff and faculty in the school of responsibility are informed, and adhere to academic policy and processes, so academic student records are accurately maintained. In This Role, You Will Create and/or maintain the official student record as found in the Student Information Management System, ensuring accuracy of all personal information. Process all Student Status forms, Grade Change Request forms, Course Change Request forms and internal program change requests. Advise and inform students and school faculty and staff on academic and student policies/processes. Perform fee adjustments to ensure congruence with academic load Process debit, credit, cheque cash payments, student loans, refunds and T2202 verification and processing. Reconcile student accounts. Provide front line support and troubleshooting related to student account inquiries, escalating to Financial Services where applicable. Conduct degree audits to identify and verify graduates and Honours and Academic Excellence award recipients. Issuing certificates/diplomas and supporting the convocation ceremonies. Qualifications Education & Experience A post-secondary Diploma in a related field with a minimum of 1 year of relevant experience; or an equivalent combination of education and experience. Demonstrated work experience with data entry and records management. Experience working in client service roles. Professional Skills High degree of proficiency with Microsoft Office Suite. Highly flexible with excellent interpersonal and communication skills and the ability to navigate and build relationships effectively throughout the organization. Ability to maintain a high degree of professionalism and confidentiality. Demonstrated problem-solving skills, analytical ability, and innovative thinking. Self-motivated, service and results oriented. Ability to work under pressure in a fast-paced environment. Demonstrated ability to work effectively independently and within a team. A desire for continuous learning and growth. Excellent oral and written communication skills in English. Assets Experience working in a post-secondary environment. Experience with student information management systems. Candidates must clearly demonstrate how they meet these qualifications on their resumes.
