Join to apply for the Spare Parts Sales Administrator role at FPS Food Process Solutions Corporation 3 days ago Be among the first 25 applicants Position Scope The Spare Parts Sales Administrator plays a key role in supporting spare parts sales while also coordinating and administering project activities. This hybrid role ensures seamless communication with customers, accurate processing of parts orders, and smooth execution of project timelines. The successful candidate will possess strong technical acumen, excellent customer service skills, and a high level of organizational ability to manage multiple priorities in a fast-paced environment. Job Responsibilities Receive and respond to client RFQs (Requests for Quotes) in a timely and professional manner. Confirm part specifications from engineering schematics and Bills of Material (BOM). Prepare and issue quotations, ensuring accuracy in fees, taxes, lead times, and markups. Process purchase orders (POs) and coordinate with internal teams for production or procurement, processing orders, and responding to customer inquiries. Track inventory using Microsoft NAV or other ERP systems. Arrange shipments and provide clients with Proof of Delivery and invoices. Maintain accurate records of communications and transactions. Support the annual year-end stock count and inventory reconciliation. Create and maintain spare parts lists for internal use and customer reference. Develop and update spare parts lists for other OEMs, including pricing information. Coordinate with relevant departments to ensure accurate and timely updates of spare parts data. Monitor spare parts availability and assist in demand forecasting to ensure optimal stock levels. Prepare weekly spare parts executive summary. Qualifications & Skills Post-secondary education in Business Administration, Commerce, or a related field. Strong computer skills, particularly Excel (formulas, basic pivot tables) and general office applications. Excellent verbal and written communication skills; able to respond professionally to client inquiries and interact effectively with colleagues across departments. Highly organized with strong prioritization skills; able to manage multiple tasks and meet deadlines under guidance. Detail-oriented and accurate in preparing quotations, processing orders, maintaining records, and managing spare parts data. Analytical mindset with a willingness to learn to interpret sales data, support inventory tracking, and generate basic reports such as weekly executive summaries. Customer-service oriented, proactive, and responsive to client and internal team needs. Ability to work both collaboratively in a team environment and independently when required.
