The Finance Administrator will support our collective efforts to build a workplace culture that is inclusive, equitable, innovative and focused on inspiring action. Reporting to the Manager, Finance, the Finance Administrator is responsible for managing purchase orders in adherence to policy and procedures, supporting procurements, maintaining contracting records, maintaining financial commitments and investigating purchasing discrepancies. This position assists Museum staff with day-to-day support on financial procedures and supports the accounts payable process as required. The incumbent will be a strong and thoughtful communicator, critical thinker and innovator, and will bring a collaborative approach to their role. What you’ll do Contributes to a culture that promotes respect, equity, inclusion and innovation, and models anti-racist and accountable behaviours. Verifies purchase requisitions and manages purchase orders in adherence to policy and procedures including but not limited to: Reviewing and confirming all approved Museum purchase requisitions for critical errors, procurement exceptions, financial coding and budgets; Issuing and amending purchase orders to external suppliers and coordinating the delivery process to meet department requirements; Coordinating the ordering process with all departments to ensure smooth delivery and minimal disruption to operations; Reviewing and creating accurate master vendor records for the CMHR and Friends of the CMHR (Friends); Leading purchase requisition training sessions for employees and providing support as required. Coordinates procurement of goods and services including researching vendors, requesting quotes from multiple suppliers, posting tenders and amendments online, coordinating incoming bids, and reviewing and summarizing results including price comparisons. Manages contract records, insurance certificates and other contract-related documents, ensuring records are complete and accurate and notifying relevant stakeholders in advance of when action is required by forms of amendments, new contracts, or new procurements. Maintains purchase order financial commitments and investigates purchasing discrepancies, including ensuring commitments are accurate to support financial reporting, budgeting and decision making. Reviews and processes accounts payable invoices and employee expense claims, ensuring adherence to policies. Executes other duties, including preparing government reports, financial system implementation testing as required, assisting external auditors, general research and providing back-up support to other Finance team members. What we’re looking for Post-secondary education in a relevant field (e.g., formal training in business, procurement, accounting or similar area) or an equivalent combination of education and experience. A minimum of five (5) years’ experience in procurement and accounts payable. Knowledge of accounting, procurement, sales taxes and record keeping. Commitment to human rights principles, including respect, equity, inclusion and dignity for all. Strong attention to detail. Strong communication skills, both oral and written. Strong analytical and problem-solving skills. Strong collaboration, interpersonal and presentation skills. Strong time management skills, with the ability to work under pressure and prioritize. Ability to work both independently and collaboratively in a team-oriented environment. Desired Qualifications Experience with financial system implementation. Experience working with external auditors. Ability to communicate proficiently in both official languages. French non-imperative. Overtime may be required in order to meet quarter/year-end deadlines and long hours working on a computer screen can occur. Involves multiple projects in a fast-paced workflow environment. Required to provide on-call response, on a rotational basis as back-up to the Accounting Coordinator.
