Office Administrator and Bookkeeper The Milk River Watershed Council Canada (MRWCC) is seeking an individual to join our team The Office Administrator and Bookkeeper will work with staff and board to manage the MRWCC office, support staff operations/projects, and provide financial reporting and bookkeeping of core operational and project budgets for the organization. Responsibilities Supports maintenance of legal and operational requirements (e.g. bylaws, society records, documents, and policies) Assists with communications and reporting (draft, edit, and format) Helps schedule and prepare materials for the Board of Directors (e.g. board meetings, team meetings) and Annual General Meeting Reports on general organization inquiries Organizes and maintains filing systems for financial, office, and policy materials Issues and tracks invoices, receipts, and makes deposits Maintains and orders office supplies Prepares QuickBooks records for annual review engagement and maintains relationships with auditors Manages and coordinates office subcontractors Supports Health and Safety Initiatives, including record management, organizing Safety Training, etc. Receives, tracks and responds to general organization inquiries Coordinates annual fundraising campaigns and leads a fund development program Provides general office and administrative support to the MRWCC team Helps maintain the website Qualifications Education: Business Administration Degree or equivalent experience, with appreciation/interest in the organization and Watershed Experience: 3 – 5 years experience in a professional business environment or educational equivalent Nonprofit experience, including knowledge of requirements for charitable status (an asset) Knowledge of Canva, Monday, Payworks, Google documents, WordPress (an asset) Experience managing project budgets, tracking implantation and coding of expenditures Attention to detail and accuracy Organization and Planning Key Duties Work co-operatively with MRWCC staff sharing office and administrative resources Attend conferences/workshops as directed Adhere to all MRWCC policies and procedures, including specified deadlines Attend MRWCC Committee/Team meetings, Council meetings, Staff meetings, and Annual General Meetings as required Be available for limited evening and weekend work Follow all MRWCC staff conduct related policies for a safe work environment Location The qualified individual will be required to report to the MRWCC office in Milk River 3 days per week and maintain a home-based office 2 days per week as required. Commuting opportunities are available with staff from the Lethbridge area. Term and Compensation Full time, (Flex time negotiable) at 37.5 hours per week. Wage range: $27.00 – $37.00/hr dependent on experience and skills. The employee is eligible for the MRWCC competitive benefits package at standard rates and coverage levels. Annual performance reviews and probationary periods apply. Travel beyond regular scheduled office hours in an employee’s vehicle is compensated at a rate of $0.65/km. Professional development training is encouraged and maybe cost shared with the MRWCC on a case-by-case basis. Professional Development Training (PDT) The MRWCC encourages staff to participate in professional development that is of value to the organization and furthers the career goals of the staff member. Staff are encouraged to take training via conference, workshop, virtual, or self-directed course with the case-by-case approval of the Executive Director. The MRWCC may cost share or pay for training if budget allows, or grant funding can be applied. PDT needs are to be discussed at regular performance review sessions and contract review periods.
