Office Manager – Join Our Team We are seeking an experienced office manager. This growth‑oriented position offers opportunities to support the recruitment strategy for our expanding Ontario campus, develop innovative office coordination processes, and manage budgeting and project tracking. Job Description Under general supervision, the Office Manager will provide administrative support for Niagara University in Ontario campus, including support for members of the leadership team. The role ensures that operational information and materials are maintained accurately and that reports and services are performed and delivered with high quality, attention to detail, and in a timely manner. This position reports to the Dean and Campus Principal. Essential Duties Oversee, coordinate, and manage office administrative procedures and review, evaluate, and implement new procedures. Coordinate and plan office services such as equipment, supplies, forms, parking, maintenance scheduling, and security services coordination. Manage and coordinate events, including graduation, special partnership events, and community partner use of campus space. Oversee onboarding of new staff and faculty, manage workspace allocation, and distribute IT equipment, ID cards, and parking passes. Create, update, and monitor databases in support of campus operations, including course scheduling and invoice processing systems. Oversee administrative operations related to budgeting, contracting, and project planning and management processes. Maintain inventory and budgetary controls by monitoring departmental budget and ensuring that campus expenses are appropriately registered. Establish work priorities and ensure deadlines are met in accordance with university procedures. Maintain office supplies and marketing materials under the direction of the Director of Graduate Recruitment. Process and monitor invoices, following up as necessary. Support coordination of events such as commencement, President's functions, staff and faculty meetings in collaboration with other staff. Carry out administrative activities associated with university admissions, as needed. Provide administrative support for the campus leadership team, such as coordinating meetings and travel. Communicate important campus operation information to faculty, staff, students, and vendors, such as opening and closing dates for holiday breaks and building maintenance. Receive, organize, and distribute campus mail and parcels. Coordinate routine campus maintenance, e.g., painting, minor repairs in collaboration with the Director of OSAP, Student Record, IT, and Operations. Gather data and prepare special reports and correspondence as needed or assigned. Adhere to all university policies and maintain confidentiality of information, including student and employee personal data. Any violations may result in disciplinary action up to and including termination. Demonstrate commitment to values consistent with the Catholic and Vincentian traditions of the University. Oversee appropriate use of university social/commercial space for community use and event coordination. Perform other duties as assigned. Description 80% Management responsibilities as outlined above 20% tasks assigned by Vaughan campus leadership team Required Knowledge, Skills, and Abilities Strong verbal and written communication skills Computer literate, including proficiency with Microsoft Office, Google products, and Gmail; ability to learn new software Strong ability to create and manage databases and Excel spreadsheets Excellent organizational skills and attention to detail Experience with budgeting, invoicing, and projection; willingness to enhance budgeting processes Strong communication skills and ability to work productively with staff, faculty, and external vendors Ability to perform all essential job functions accurately with minimal supervision Judgement to ensure timely processing and completion of assigned tasks Office management skills; ability to work independently and accept responsibility Flexibility and cordiality to all visitors and customers; maintain professionalism Qualification Standards College Diploma or equivalent Bachelor’s degree preferred Minimum of four years of experience in a similar office coordinator, administrator, or manager role Prior work experience in an educational setting is an asset A valid Canadian driver’s license may be required by university policy and insurance regulations when driving a motor vehicle Salary $32.97 – $44.00 per hour #J-18808-Ljbffr
