The coordinator receives day-to-day tasks directly from the teams and supervision from the Operations Manager. This position is expected to be in office 3-4x per week.
Job Description
Administration et coordination

- Coordonner et mettre en œuvre des programmes de marketing pour les inscriptions et concevoir du matériel publicitaire approprié pour les journaux et les magazines, les publipostages et la distribution par courriel, notamment les dépliants, les cartes postales et les infolettres périodiques.
- Assurer la liaison avec divers services internes pour coordonner les livrables de marketing.
- Créer des propositions d'inscription et des argumentaires, y compris la finition d'impression (impression, reliure, etc.)
- Téléverser de nouvelles inscriptions sur plusieurs plateformes (p. ex., site Web de Cushman & Wakefield, Centris et Loopnet).
- Tenir et administrer diverses bases de données - mise à jour des renseignements sur le propriétaire, l'acheteur, le vendeur, la propriété et les clients potentiels, au besoin.
- Faire la relecture d'épreuves et rédiger des textes à l'occasion

- Organiser et préparer les documents relatifs aux transactions comme les ententes de confidentialité, les offres, les conventions d'inscription et autres formulaires de l'OACIQ, les documents de clôture et les dossiers d'opérations.
- Préparer des propositions sous la direction de l'équipe
Qualifications
- Maîtrise des applications Adobe comme InDesign, Photoshop, Illustrator et Acrobat
- Utilisation d'applications professionnelles et Microsoft comme Word, Excel, PowerPoint et Outlook
- Capacité à respecter les échéances sans compromettre l'exactitude, excellente qualité des produits et souci du détail
- Expérience de l'immobilier dans une organisation d'immobilier commercial, un atout (minimum d'un an d'expérience)
- Diplôme collégial ou universitaire, un atout
- Solides compétences en marketing électronique (Twitter, LinkedIn)
- Capacité à offrir un excellent service à la clientèle à tous les niveaux de l'organisation et avec les partenaires externes
- Bilinguisme, très bonne maîtrise de la grammaire et compétences rédactionnelles aux fins de la correction d'épreuves et de la révision de textes
- Grand professionnalisme et excellentes compétences interpersonnelles
- Solide capacité à établir des relations, attitude proactive, approche axée sur les résultats et débrouillardise

Administration & Coordination
- Organize and implement listing and team marketing strategies including management of team's social media communication
- Keep records and compile information for client activity reports and update ongoing transaction pipeline
- Research and prepare market surveys
- Compile property information and market data for listing proposals and opinions of value including title searches, zoning/planning reports, property assessments, etc.
- Coordinate and execute marketing programs for listings and design materials suitable for newspaper/magazine ads, direct mailers and e-mail distribution i.e. flyers, postcards, newsletter updates, etc.
- Liaise with various in-house services for coordination of marketing deliverables
- Create listing proposals and pitches including print finishing (printing, binding, etc.)
- Upload new listings to multiple platforms (e.g., Cushman & Wakefield website, Centris, Loopnet, etc.)
- Maintenance and administration of various databases - updating of owner, buyer, seller, property and prospect information as required
- Proofreading and limited copy writing
- Miscellaneous requests and special projects as required by the team
- Fulfill other administrative tasks required by C&W to facilitate the transaction of C&W real estate business
Client Interaction
- Coordinate property tours and send tour packages
- Coordinate client activity for specific accounts and transactions
Financial
- Assist Brokers with entering transactions into the Sales Database for processing (Engage)
- Organize and prepare transaction documents i.e. confidentiality agreements, offers, listing agreements and other OACIQ forms, closing documents, trade records, etc.
- Prepare proposals with direction from team
Qualifications
- Computer proficiency in Adobe applications such as InDesign, Photoshop, Illustrator & Acrobat
- Professional and Microsoft applications such as Word, Excel, PowerPoint, Outlook
- Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail
- Previous real estate experience in a commercial real estate organization preferred (min 1 yr experience)
- College or University degree strongly preferred
- Strong skill sets in electronic marketing (Twitter, LinkedIn)
- Ability to deliver excellent customer service at all levels of the organization and with external partners
- Bilingual, with a strong command of grammar and writing skills for the purpose of proof reading and editing
- Exhibit a high level of professionalism and excellent interpersonal skills
- Strong relationship-building ability, proactive, results-oriented, and resourceful
- Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment
