Job Title: Program Assistant - Housing Access

Job Description: Seeking a detail-oriented and organized Program Assistant to provide administrative support for Housing Access programs and services.

Job Summary:

  • Provide administrative support for Housing Access programs and services
  • Assist with client registration, referrals, and intake processes
  • Develop and maintain information and referral binders/sheets on programs and community resources
  • Assist with organizing programming, including preparing handouts and setting up program rooms
  • Monitor and ensure proper client use of washrooms and lobby conditions
  • Assist with data collection and statistical reporting
  • Perform other related duties as required

Responsibilities:

  • Initial screening and registration of clients
  • Referral of clients to appropriate programs
  • Preparation of flyers and calendars
  • Arranging for printing and distribution of materials
  • Maintaining pamphlet supply of WoodGreen and community services
  • Responding to general inquiries regarding the application process
  • Assisting with organizing programming
  • Monitoring the site's main telephone and responding to messages
  • Assisting with data collection and statistical reporting
  • Monitoring lobby conditions and reporting hazards
  • Scheduling and organizing regular safety procedures and protocols
  • Assessing individual needs and providing information and referral
  • Identifying and responding to potential crisis situations
  • Coordinating and attending de-briefings
  • Supporting and coordinating volunteers and students
  • Receiving and sorting mail delivery
  • Maintaining and ordering office and programming supplies
  • Supporting the Centre's team and agency in achieving objectives
  • Maintaining confidentiality and respecting client and staff information

Requirements:

  • Community Worker Diploma, Social Services Worker Diploma, or equivalent 2-year college diploma
  • One year experience working in a social service sector
  • Experience working with potentially hostile and aggressive clients
  • Knowledge of programs and community services/resources
  • Demonstrated intake, assessment, and referral skills
  • Ability to coordinate and communicate effectively with clients and colleagues
  • Strong interpersonal and problem-solving skills
  • Demonstrated knowledge of supporting individuals experiencing mental health, addictions, and homelessness
  • Ability to handle multiple tasks and meet competing deadlines
  • Ability to empathically support clients during crisis situations
  • Ability to de-escalate potentially volatile clients
  • Strong administrative and clerical skills
  • Demonstrated ability to establish rapport
  • Strong ability to work within a team environment
  • Strong English language skills
  • Strong computer skills
