Description

Archives & Special Collections within Libraries & Cultural Resources is currently seeking a Full-time Temporary Relief Archives Specialist for approximately 9 months.

The Archives Specialist reports to the Manager, Archival Processing and provides key support in the physical processing, arrangement, description, and finding aid production associated with archival records related to southern Alberta history as managed by Archives and Special Collections. Physical demands include processes that involve repetitive movements and lifting of some heavier archival storage boxes. The position works at the Taylor Family High Density Library on the Spy Hill Campus.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Under the direction of the Manager, Archival Processing, creates and maintains archival finding aids, inventories and other documentation that describe archival materials related to southern Alberta's history.
  • Completes processing of incoming archival materials, often on deadline to meet departmental, grant, or monetary appraisal deadlines.
  • Reviews and edits legacy databases and finding aids related to southern Alberta' history in preparation for migration to AtoM or other collection management systems.
  • Uses Exlibris Alma and AtoM to ensure management and discoverability of archival materials.
  • Completes project work to support the discoverability and availability of collections related to southern Alberta's history.
  • Handles rare, fragile, and archival materials with appropriate care.
  • Informs Supervisor and/or Conservation Advisor of materials requiring conservation or preservation.
  • Consults appropriately and proactively with Manager, Archival Processing when problems are encountered.
  • Assists in the creation and maintenance of digital collections, as required.
  • Supports archivists with special projects, as required.

Qualifications / Requirements:

  • University degree and/or diploma preferably with an emphasis on archives.
  • Minimum of 3 years experience in an archives with particular emphasis on processing, arrangement and description.
  • Knowledge of archival theory and practice.
  • Knowledge of southern Alberta's history.
  • Knowledge of national and international standards for archival collections is an asset (examples include ISAD (G) or RAD).
  • Excellent working knowledge of Windows and Microsoft Office software, particularly Excel.
  • Knowledge of or experience working with archival management systems, particularly AtoM.
  • Strong written and verbal communication skills.
  • Ability to handle changes in priorities in a mature and professional manner.
  • Ability to work both independently and collegially.
  • Strong time management skills.
  • High level of accuracy.
  • Close attention to detail.
