Finance Administrative Assistant

Purpose

Reporting to the Controller Finance, the Finance Administrative Assistant provides a wide range of administrative, clerical and service functions that support the department and staff, acts as the first point of contact for the department, as well as contributes to the continual improvement of processes.

Responsibilities

Duties include but are not limited to:


•Monitoring the finance email mailboxes and responding or forwarding emails as appropriate;


•Providing support to the Treasury Services Representatives during peak periods which include: o Accepting and posting payments and charges to student accounts,

o Reconciling and balancing cash drawers and tills, o Preparing daily bank deposit,

o Preparing daily cashiering reports and journal entries.


•Gathering and organizing paperwork for student refunds;


•Maintaining the finance web page;


•Maintaining and updating forms and procedural documents;


•Performing other administrative tasks such as front desk and department phone reception, incoming/outgoing mail, scheduling and coordinating meetings, maintaining office supplies, assistance with cheque run; and


•Assisting the Controller Finance with any tasks as needed.

Qualifications

The successful candidate will possess the following:


•A two-year certificate in office administration; and


•Minimum of three years of related work experience, preferably in finance/accounting.

An equivalent combination of education and experience will be considered.

The successful candidate has achieved an intermediate level of proficiency with Word and Excel. Experience working in databases, i.e. accounting software, and creating forms in Adobe or equivalent is a strong asset.

The ability to work independently and demonstrate initiative in a busy and sometimes stressful environment is critical, with the flexibility to assist where needed and work as an active team member. Outstanding interpersonal skills, time management, organization, and communication skills with a proven ability to

interact in a highly professional and confidential manner are crucial. Accuracy and attention to detail is important. Ability to deal courteously and tactfully with staff, students, and members of the general public. Thus, communicate effectively both verbally and in writing.

Salary

This position has been classified at a Grade 6. The annual salary range for this position is $57,148.00 to $59,495.80 and the normal starting salary will be $57,148.00.
