Hays Specialist Recruitment has partnered with a Real Estate Association in Vancouver, BC. We are looking to hire a Procurement Coordinator(Services) to join their team on a contract basis of 3 months. This is a Hybrid role, and can be Part time or Full time.



Your responsibilities:

Assist in creating a centralized procurement function to allow for formalized, standardized agreements/ contracts and terms and conditions. Specific deliverables include, but are not limited to:

Review and develop procurement policy and procedures

  • Defined procurement process, plus templates for basic components within the process (e.g., RFP)
  • Document library accessible to and usable by any team members involved in procurement.

Develop standard templates and contractual clauses specific to procurement categories

  • Develop RFx evaluation process and criteria and ongoing supplier evaluation process
  • Inventory and centralize existing contracts and agreements
  • Create/improve centralized record keeping system for all contracts and a log/tracking system to monitor expiry dates and pricing
  • Change management and communications plan to ensure knowledge transfer and adoption across the organization.
  • Train and coach staff to be able to take on the newly created tasks related to the procurement function (knowledge transfer)
  • Develop communication to all staff to explain newly created policies and procedures


What you need to succeed:

Procurement

  • Demonstrated experience in creating procurement policies, processes and documents (e.g., RFP, RFQ, RFEOI, ITT) and respective templates

Experience facilitating at least 5 major procurement processes (>$250,000) across a range of products and services. Contract Development/Review

  • Demonstrated experience with developing commercial terms in contractual agreements (e.g., payment schedules, service level agreements, performance targets)
  • Some experience with legal terms and conditions within contracts (e.g., risk assessment of liability), ideally at a paralegal level

Contract Management

  • Experience managing a portfolio of contracts, including reviews, renewals and vendor performance management
  • Demonstrated ability to create contract and vendor management processes and documents
