Who We Are Looking For
We are currently on the hunt for a talented individual to fill the role of Office Administrator in our Calgary office. The successful candidate will complete daily admin tasks and duties such as organizing meeting requests, scheduling travel and site visits, greeting clients, the recording and preparation of meeting minutes, preparing reports, processing invoices as well as light phone duties. Additionally, the Office Administrator will be a highly qualified person able to support the company Principals and staff in day-to-day business operations.

Some of the Things You Would Do (in no particular order)
- Daily admin tasks (order office supplies, answer phones and direct calls, prints and copies, manage company internet/phone services, permit and software renewals)
- Maintain a high degree of discretion and confidentiality
- Ability to plan, organize, and execute events and meetings
- Record and prepare minutes of meetings
- Prepare and proof read documents and reports
- Create and draft professional emails and letters
- Marketing duties- assist company with advertisement, manage social media platforms
- Business development duties- willingness to learn the industry, assist with new project bids, seek out grants/funding for the company
- Bookkeeping duties – Assist with processing and inputting payables and invoicing receivables
- All other duties, as required
Some of the Things You’ll Need to Have
- Minimum 1-2 years of experience working in a similar role.
- Quick learner with a positive attitude and the desire to learn.
- Be proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Portray strong administrative and clerical skills with exceptional attention to detail.
- Extremely organized and ability to multi-task.
- Highly ambitious, hardworking and resourceful.
- Communication is key for this position; individual should have excellent interpersonal skills.
- Reliability.
- Business education is an asset.
- Prior experience working in a design or engineering firm is an asset.
