Fleet Maintenance Administrator

The Driving Force Inc. is currently seeking a Fleet Maintenance Advisors to join our Fleet Solutions team in Edmonton, AB. The Fleet Maintenance Advisors will provide administrative support as a part of the Fleet Central Maintenance team through data analysis, KPI monitoring, invoice processing and applicable system entry updates based on the results. This role requires high attention to detail and accuracy, as well the ability to utilize multiple systems and data to determine solutions to department invoicing concerns. The role will provide transactional support to the Maintenance Advisors and Damage Recovery Department during times of high volume of invoice and Work Order (WO) issuing.

What You’ll Do:
- Provide administrative support by uploading invoices from Concur to Maintain with accuracy.
- Submit matched invoices into work orders (WOs) and resolve issues with aging invoices.
- Issue Purchase Orders (POs) for minor repairs and oil changes as needed.
- Create spreadsheets to track invoicing trends and conduct data analysis using Excel.
- Monitor KPIs and prepare monthly performance reports for management.
- Respond to vendor inquiries promptly and coordinate with the Fleet Maintenance team.
- Maintain positive vendor relationships to ensure timely maintenance services.
What You’ll Need:
- High School Diploma or equivalent; Post Secondary in Office Administration preferred.
- Minimum 1 year of experience in the automotive industry is a plus.
- Proficiency in Microsoft Excel and advanced knowledge of Microsoft Office.
- Strong problem-solving skills and the ability to adapt to new software.
- Self-directed with strong attention to detail and multitasking abilities.
- Excellent interpersonal and communication skills.
- Strong organizational skills; bilingual in French and English is an asset.
