About the Role


Reporting directly to the Executive Assistant & Special Projects Manager, the Administrative Assistant will provide proactive administrative support and assistance to the Vancouver office, as well as, support multiple Executives with daily administrative duties.

We are seeking someone with excellent customer service, experience and the ability able to multi-task with a high volume of assignments.


  • Greeting visitors with excellent customer service, giving them undivided attention, making them feel safe and welcome
  • Managing all incoming and outgoing mail, as well as courier services
  • Booking, organizing/maintaining, and sanitizing all boardrooms/meetings
  • Managing calendars for up to 5 Executives
  • Maintain company contact information and distribution lists
  • Edit, format and finalize documentation as required
  • Assist with various administrative tasks to support the departments as needed
  • Create and maintain tracking systems as required
  • Arranging office catering and assisting with restaurant reservations
  • Daily servicing of coffee machines and printers
  • Maintain office and kitchen supplies
  • Keep common areas, including kitchens tidy
  • Provide administrative support to Senior Leaders when required
  • Other duties as required

  • 2 year minimum of reception experience
  • Professional and friendly demeanour
  • Ability to multitask and prioritize workload
  • Excellent communication skills with attention to detail
  • Strong work ethic, time management skills and reliable
