Job Summary

Duties and Responsibilities

  • Manage daily schedules for senior management and other staff members, including scheduling meetings, conferences, and other events
  • Prepare and edit documents and reports for senior management
  • Respond to inquiries from internal and external contacts
  • Maintain filing systems and databases
  • Develop and implement processes and procedures to improve administrative operations

Responsibilities**:

Administrative Support:

  • Provide comprehensive administrative support to the managerial team, including managing schedules, coordinating meetings, and handling correspondence.
  • Prepare and organize documents, reports, and presentations for internal and external use.

Communication Liaison:

  • Act as a key point of contact between the managerial team and other departments, ensuring effective communication and information flow.

Project Coordination:

  • Assist in planning, organizing, and coordinating various projects and initiatives.
  • Collaborate with team members to ensure project deadlines are met and objectives are achieved.

Data Management:

  • Maintain accurate and uptodate records, databases, and filing systems.
  • Assist in data analysis and preparation of relevant reports for management review.

Meeting Coordination:

  • Schedule, organize, and coordinate meetings, including preparing agendas, recording minutes, and ensuring followup on action items.
  • Arrange travel logistics for management when necessary.

Problem-Solving:

  • Anticipate and address potential challenges or issues before they arise.
  • Collaborate with the managerial team to find effective solutions to problems.

Requirements and Qualifications

  • Fluent in spanish and english
  • Bachelor's degree in business administration or related field
  • At least 2 years of experience in an administrative role
  • Excellent organizational and time management skills
  • Proficient in Microsoft (MS) Office Suite
  • Strong written and verbal communication skills
  • Able to work independently with mínimal supervision
  • Able to prioritize tasks and manage multiple projects simultaneously

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Proven experience as an administrative or executive assistant.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
