Key Responsibilities:

General Office Coordination:

  • Manage daytoday operations to ensure the smooth running of the office.
  • Coordinate all general office activities and maintain a welcoming atmosphere for staff and visitors.

Front of House Duties:

  • Handle general enquiries and be the first point of contact for visitors
  • Greet and provide office induction for new staff members, emphasizing the reception's role in assisting them.

Communication and Mailroom:

  • Update and delete staff information for on and off boarding.
  • Coordinate the mailroom, sorting and distributing mail, and handling urgent or personal matters.

Courier and Parcel Coordination:

  • Receive and manage couriered parcels, ensuring prompt delivery to the addressed recipients.
  • Wrap, weigh, and record all outgoing parcels for domestic and international shipping.
  • Manage StarTrack and FedEx accounts, reconciling accounts and following up on nondeliveries.

Office Supplies and Maintenance:

  • Order office supplies, stationery, and manage office consumables.
  • Handle ad hoc tasks for staff, including photocopying, laminating, and other support activities.
  • Attend to complaints regarding office equipment, organizing maintenance when necessary.

Events and Functions:

  • Assist in organizing and ordering catering for onsite events.
  • Set up and clean up for inhouse functions, preparing meeting rooms and providing refreshments.
  • Order fresh flowers and ensure the coffee machine is operational.

General Facility Management:

  • Coordinate maintenance through BGIS or Property Manager, ensuring timely completion.
  • Supervise cleaning staff, ensuring work is up to standard.
  • Manage car parking, lockers, and office/building swipe cards.

Additional Responsibilities:

  • Assist with IT in meeting rooms, troubleshooting technical issues.
  • Coordinate service visits for coffee machine, fire services, air conditioning, plants, and billi taps. Assist with organizing functions for the Engagement Team.

Qualifications and Skills:

  • Proven experience in a similar role.
  • Exceptional organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite.
  • Ability to adapt to a dynamic work environment.
  • Engages and communicates effectively with visitors, comfortable initiating conversations, and creates a positive, welcoming atmosphere.
  • Proactive in taking on responsibilities and addressing tasks without constant supervision, demonstrates initiative, and a willingness to go above and beyond in daily responsibilities.
  • Sets a positive and professional example for others in the workplace, demonstrating a strong work ethic and reliability. Focuses on providing excellent customer service to both internal and external stakeholders, with the ability to anticipate and meet the needs of visitors and staff with a customerfirst mindset.
