Leading civil and infrastructure contractor specializing in transportation, rail, and heavy civil projects is looking for a Proposal Specialist to join their major projects division in Vancouver.
The Proposal Coordinator, reporting to the Proposal Manager, will be responsible for assisting in coordinating, supporting, and writing Request for Qualifications (RFQs), Request for Proposals (RFPs), Expression of Interests (EOIs), and Market Sounding submissions for major infrastructure projects in Western Canada. The ideal candidate should possess strong technical writing skills and be able to thrive in a deadline-driven environment. Working closely with internal and external stakeholders, the Proposal Coordinator will play a crucial role in developing high-quality submissions to secure new projects.
Key Responsibilities:
- Review and understand client proposal requirements thoroughly
- Develop proposal calendars, project matrices, and templates
- Create, edit, and format proposal sections, resumes, and project sheets
- Track and ensure timely submission of proposal deliverables
- Assist in writing, formatting, and proofreading proposals
- Research and gather relevant information for proposals
- Coordinate information flow from subject matter experts
- Ensure compliance of all content with proposal requirements
- Prepare write-ups for construction-related topics
- Organize team meetings and prepare meeting agendas
- Manage document management systems
- Track and report on Key Performance Indicators (KPIs)
- Collaborate with graphic designers for visual elements
- Attend bid meetings and summarize outcomes
- Promote inclusive culture and diversity
- Prepare reports for senior management
- Some travel may be required
Qualifications:
- Strong English writing and technical skills
- Attention to detail and ability to proofread and edit
- Minimum of 5 years of relevant proposal development experience
- Degree in language, communications, marketing, business, or engineering
- Knowledge of construction RFP and EOI processes
- Flexibility to work overtime when necessary
- Ability to read construction drawings and specifications
- Previous experience in consulting, engineering, or legal fields
