The Children's Foundation is looking for a
Special Events Advisor, an extremely organized people-person who loves building meaningful relationships with fundraising event organizers.


Reporting to the Director, Special Events, the Advisor will work with a team that manages the development and execution of several major fundraising events for The Montreal Children's Hospital Foundation and supports fundraising events in the community.


There is a reason we call the position Special Events Advisor It requires someone very special to be able to work well with others, appreciate and support the efforts of volunteers, manage multiple projects, and provide exceptional customer service in a bilingual environment.


TASKS & RESPONSIBILITIES:

Community relations (45%):

  • Act as an advisor and support organizers of numerous community fundraising events: including face to face meetings, followups, guidance such as providing Foundation marketing materials, ensuring fundraising conforms with Revenue Canada tax guidelines, etc. and tracking and processing donations all with the support of the Coordinator;
  • Manage and motivate a variety of volunteer committees;
  • Provide a consistent, stellar customer service, and offering guidance to all event organizers/volunteers;
  • Ensure appropriate donor recognition according to Foundation's policy;
  • Collaborate with the Montreal Children's Hospital and its different departments;
  • Occasionally represent the Foundation at community and flagship fundraising events, including weeknights or weekends.

Project Management (45%):

  • Spearhead the logistics and management of Foundation flagship fundraising events, in collaboration with volunteer committees;
  • Manage timelines, budgets and action plans for each flagship fundraising event;
  • Follow up with volunteers and ensuring deadlines are respected;
  • Proactively plan for and adapt to an environment with multiple deadlines and fluid priorities;
  • Create and manage master files (including weekly updates), specific to each flagship fundraising event;
  • Follow up on event goals and funding allocation, and ensure accountability for donors;
  • Produce event postmortem analysis, key learnings, and recommendations for development;
  • Prepare agendas, attend and sometimes chair the Foundation flagship volunteer committee meetings, which can take place outside of regular working hours;
  • Develop basic communications tools and support volunteers in sponsorship solicitations.

Administrative / Event Logistics (10%):

  • Oversee the work of and support the Director in managing the workload of a Coordinator;
  • Collaborate closely with Montreal Children's Hospital Foundation departments;
  • Negotiate and execute contracts with event suppliers;
  • Act as team support for other events when needed.

REQUIREMENTS (skills, abilities and knowledge)

  • Strong people skills and diplomacy in relationships with donors, volunteers, partners, and colleagues;
  • A clientbased approach (respecting commitments, being proactive, and responsive) with the ability to adapt in various situations and environments;
  • Strong organizational skills and attention to detail, including the ability to manage several projects at once;
  • Ability to manage one's workload and while supervising the Coordinator's workload;
  • The ability to work and make decisions under pressure and stress, with various deadlines;
  • Excellent communication skills, and fluency (written and spoken) in French and in English;
  • Autonomous, resourceful and full of initiative;
  • A strong sense of teamspirit and collaboration;
  • Available to work the occasional evening and weekend ;
  • An adherence to the values associated with the organization's mandate.

TECHNICAL REQUIREMENTS

  • Mastery of Microsoft Office Suite and, in particular, of Excel;
  • An undergraduate University degree or equivalent experience;
  • 5 years or more experience in a similar position;
  • Driving licence and access to a car;
  • Knowledge of Raiser's Edge software is an asset.
