About the role:


In this role as a Contracts Specialist, bilingual French/English, you will be responsible for efficiently handling a diverse contract portfolio and providing exceptional customer service.

The successful candidate will collaborate with various teams (RFP/contracting, customer intelligence, sales, marketing, distributors, GPO, and direct customers).

All the while ensuring business continuity and optimizing contract processes, not limited to the management of discontinuations and recalls for the team, handling the contract process from soup to nuts, ensuring minimal billback claim processing errors.


Key responsibilities will include:
Generate expiry reports, analyze data, and liaise with all stakeholders to ensure contracts are renewed timely.

Ensure contract renewals are completed with approved pricing in adherence to the approval and signing authority processes as well as Distributor T&C.

Action as appropriate for product discontinuations and supply disruptions.

Ensure all contract product additions and membership maintenance changes are actioned timely and in accordance with agreement terms and conditions.

Reconcile contract membership conflicts.
Communicate with Sales and external customers (Distributors, Group Purchasing Organizations, and Direct Customers) regarding contract pricing and membership.

Liaise with Customer Service to address any contract or pricing related inquiries to ensure a high level of customer service and minimize order management pricing discrepancies.

Support billback claim processing by immediately addressing contract errors to ensure claims are processed timely and fully to produce sales reporting.

Lead communications with Distributors for an assigned portfolio to ensure their contract pricing system is accurate to minimize claim processing errors.

Follow-up to ensure prompt reconciliation of discrepancies.

Provide Level 1 Support; a 48-hour turnaround time including: contract membership additions, product additions and Customer Service order management issues.

Develop tools to support team members to make their day-to-day tasks more efficient and effective.

Education and experience required:
University degree required.
Proficiency with MS Office tools (word, outlook, etc.), including superior Excel proficiency (VLOOKUP, SUMIF, Pivot Tables) a must.
Minimum two years contracts experience, with billback/chargeback knowledge, working with a large matrix fast pace organization.
Proficiency working with an ERP system such as SAP, AS400, JDE, Salesforce, Hyperion, etc.). Power BI experience an asset.
Fluency in both English and French (read, write, speak), in French to correspond with distributors in Quebec.
