JOB SUMMARY


Reporting to the Business Development and Event Coordinator, this position is responsible for providing front line customer service and supervision of rental clients, vendors, and event guests of the Markham Museum.

The role will be accountable for ensuring that rental clients and their guests have an enjoyable and positive experience at the facility.

The Community Events & Rentals Specialist will provide direction to part-time Maintenance staff in order to ensure the smooth running of the rental and events at the Museum.

This position will also support programming, museum events administration, coordination and delivery as needed.


Due to the nature of events and rental, the hours for this position can fluctuate, with many of the shifts taking place on weekends and evenings (ending at times as late as 2:00 am).

Administrative duties may be completed during regular operating hours.

JOB DUTIES

  • Oversee smooth execution of rental and events needs and ensures a positive experience throughout the entire duration of events.
  • Address any issues from clients in a prompt, effective and professional manner and escalate to Coordinator where needed.
  • Responsible for event implementation and logistics including setup and take down of required tables, chairs, etc.
  • Work independently and with mínimal supervision including acting as site supervisors during events outside of regular business hours.
  • Liaise with rental clients and oversee vendors during event setup and takedown and advise client of any concerns.
  • Maintain site security and responsible for the opening and closing of the Museum grounds and its various buildings, ensuring that all buildings are locked, alarms have been set and assets have been secured at closing.
  • Takes a lead role in safety and security procedures and situations. Effectively deals with emergencies if and when they arise.
  • Ensure a safe and accessible environment for rental and event guests.
  • Ensure client agreements are being adhered to as per the direction of the Business Development & Event Coordinator or designate.
  • Maintain contact and alert the Business Development & Event Coordinator or designate, on any urgent event/rental related issues and emergencies.
  • Complete an end of day status report for events/rentals.
  • Liaise and provide directions to security personnel throughout the event/rental. Ensuring security personnel submit a completed security checklist at end of event.
  • Provide direction to rental guests/clients to assist them in locating their venue on Museum property.
  • Ensure a clean, safe and professional atmosphere through general cleaning/maintenance of rental space and washrooms as required (i.e. mopping, sweeping, vacuuming, cleaning washrooms/dressing rooms, clearing and salting walkways, garbage pickup, setups and breakdowns of tables and chairs as required).
  • Maintain constant communication with other onsite staff regarding event details and guest location, to ensure coordination of site use by multiple clients.
  • Maintains awareness and ensures client compliance with City of Markham Rules and Regulations.
  • Provides direction to volunteers and maintenance staff assisting with event delivery.
  • Responds and directs requests from patrons (general public) and other City of Markham staff on general issues and/or maintenance requests.
  • Attend and monitor use of buildings and objects for filming contracts and other rentals involving use of historic buildings and objects.
  • Responsible for directing temporary and seasonal staff, interns, coop students and volunteers working in the events area.
  • Key duties related to this position will change focus seasonally based on site needs.
  • Other duties as required.

  • Must be 18+ years
  • Previous customer service experience and interest in civil services preferred
  • Interest in pursuing a career in event management or similar career an asset
  • Leadership experience an asset
