The position reports to the CEO and works closely with the Construction and Development Teams
:
Accountabilities and Key Functions:
- The Team Administrator will be responsible for working with the Executive, Construction and Development Teams to coordinate and facilitate the operation of the respective teams, including managing invoice workflow, gathering information for budget and accounting purposes, working with the procurement team to issue and manage purchase orders, arranging team meetings and providing administrative support to the CEO
Role & Responsibilities:
Primary responsibilities for this position include the following:
_Team Operations _
- Work with the Development and Construction Teams on invoice workflow (invoice coding, routing invoices for payment if needed, linking invoices to purchase orders) and tracking invoice approvals/payments to ensure payment is completed on a timely basis
- Coordinate with vendors to get information for monthly and quarterly accruals
- Complete vendor setup forms as requested by the Development and Construction Teams
- Complete cheque requisition forms as requested by the Development and Construction Teams
- Obtain signatures from signing officers
- Coordinate team offsite meetings and socials
_Administrative Support _
- Provide administrative support to the Executive, Development and Construction teams, including the arrangement of couriers, signatures, and mail sorting
- Preparation of written correspondence
- Prepare documents, presentations, and/or spreadsheets
- Organize and coordinate internal and external meetings
- Provide administrative support and content management for Jostle (company intranet)
- Provide administrative support and content management for LinkedIn company page
Knowledge, Skills & Abilities:
- Strong computer skills, proficient in Microsoft Outlook, Word, Excel, and PowerPoint
- Excellent communication and organizational skills
- Ability to be a great teammate
- Selfmotivated, professional, and flexible; able to work both independently and within the team
Minimum Requirements:
- Minimum of 35 years of work experience in a broadranging administrative role
- Good verbal and written communication and interpersonal skills
