Our Document Imaging and Dealer Services team is currently growing We're seeking a Document Management Representative – someone who is responsible for achieving the daily operational functions and activities as it relates to scanning and indexing within the workflow management for internal and external clients and other document related functions.

The Document Service representative will work with both internal and external clients by ensuring the integrity of the images, document filing and retrieval of records in a timely manner.

What is the role of the Document Management Representative?

Image documents from Advisors and branches into their respective document assigned categories Monitor the quality of images and accuracy of account input when indexing. Perform routine equipment maintenance Perform periodic quality check of packages that are scanned at Head Office (HO Re-scan poor quality images as they are identified Monitor incoming email (UVC) and manage imaging email boxes Maintain a working knowledge of all imaging, workflow procedures Meet outlined imaging SLA's. Collaborate with team when managing queue volumes Work with internal IS teams and vendors with trouble shooting and issue resolution Cheque deposits at HO Return mail reporting review and handling Complete monthly stats and other assigned reporting Coordinate activities of business owners involved with analyzing business forms; such as maintain an inventory of forms and changes across multiple repositories, translations, testing, script completion and documentation. Provide support with Initiatives as required which includes testing and may require overtime on occasional weekends. Includes Univeris release meetings, UAT & PAT Coordinate storage activities among all cost centers at Head Office to f ulfill special request and answer questions for document retrieval. Effective handling of delivery/receiving of confidential storage boxes to various teams Review and update procedure manuals Other duties as required or assigned by leader

What traits and competencies should a Document Management Representative possess?

Strong verbal and written communication skills Ability to leverage technology to enhance client experiences Effective time management skills. Ability to manage multiple responsibilities effectively while meeting with outlined service guidelines. A true interest in working collaboratively and being a team player

What are the preferred qualifications for a Document Management Representative ?

Minimum 2 years of experience within the Financial Industry Experience working in a dealership, preferably in an operations team is an asset. Post-Secondary education; completion of IFIC is an asset Intermediate knowledge and proficiency at using the Microsoft Office suite of products, mainly MS Word and Excel

Numériser les documents des conseillers et des succursales dans les catégories de documents qui leur sont attribuées Surveiller la qualité des images et l'exactitude des données relatives au compte lors de l'indexation Effectuer l'entretien normal de l'équipement Effectuer des vérifications périodiques de la qualité des trousses qui sont numérisées au siège social Effectuer une nouvelle numérisation des images de mauvaise qualité à mesure qu'elles sont repérées Surveiller les courriels entrants (UVC) et gérer les boîtes de courriel d'imagerie Maintenir une connaissance pratique de toutes les procédures d'imagerie et de gestion du flux des travaux Respecter les ententes de niveau de service en matière d'imagerie Collaborer avec l'équipe pour la gestion des volumes de la file d'attente Travailler avec les équipes internes des SI et les fournisseurs pour le dépannage et la résolution des problèmes Effectuer les dépôts de chèques au siège social Effectuer l'examen et le traitement des rapports sur le courrier retourné Produire des statistiques mensuelles et d'autres rapports demandés Coordonner les activités des propriétaires de projet qui participent à l'analyse des formulaires, notamment ce qui suit : tenue à jour d'un inventaire des formulaires et des changements dans plusieurs référentiels, traduction, mise à l'essai, rédaction de scénarios et documentation Offrir du soutien relativement aux initiatives au besoin, ce qui comprend des tests et peut nécessiter des heures supplémentaires à l'occasion la fin de semaine, ainsi que des réunions sur les mises à jour d'Univeris et les essais d'acceptation par les utilisateurs et dans les environnements de production Coordonner les activités d'entreposage entre tous les centres de coûts du siège social pour donner suite aux demandes spéciales et répondre aux questions concernant la récupération de documents Traiter efficacement la livraison/réception des boîtes d'entreposage de documents confidentiels destinées à diverses équipes ou provenant de celles-ci Passer en revue et mettre à jour les guides des procédures Effectuer d'autres tâches au besoin, notamment celles assignées par le leader
