ABOUT THE OPPORTUNITY

Reporting to the Director, the primary purpose of the Administrative Assistant is to support other team members in their engagement with Canada, British Columbia, municipal governments and First Nations.

Their key duties include directing phone calls, responding to inquiries, and managing meeting schedules.

Administrative Assistants perform general clerical work for their department, create and maintain recordkeeping systems, schedule appointments, take messages for staff, and facilitate communication with clients.

Facilitating travel will be a key responsibility. This role will support Ministries/Departments under the Chief Public Affairs Officer.

KEY DUTIES AND RESPONSIBILITIES

  • Organize and schedule appointments and meetings.
  • Produce and distribute correspondence memos, letters, and forms.
  • Implement clerical duties and administrative processes to increase efficiency.
  • Conduct data entry.
  • Maintain contact lists and staff appointments.
  • Assist in the preparation of regularly scheduled reports.
  • Organize travel arrangements, order office supplies and submit expense reports.
  • Provide general support to visitors.
  • Research and create presentations.
  • Book conference calls, rooms, taxis, couriers, hotels, etc.
  • Maintain computer and manual filing systems.
  • Handle sensitive information in a confidential manner.
  • Take accurate minutes of meetings.
  • Coordinate office procedures and repairs to office equipment.
  • Greet and assist visitors to the office.
  • Photocopy and print out documents on behalf of other colleagues.
  • Provide polite and professional communication.

THE IDEAL CANDIDATE

  • Bachelor's degree or relevant program from a recognized university or college, or equivalent combination of education and experience.
  • Knowledge of the historical and contemporary contributions made by Métis people in B.C. is an asset.
  • Demonstrated working knowledge of Microsoft Office and standard office equipment.
  • Excellent analytical skills, technical skills, and impeccable attention to detail.
  • Strong aptitude for problemsolving and sound judgment.
  • Excellent organizational skills, including prioritizing workload to meet deadlines and managing multiple concurrent tasks.
  • Demonstrated ability to work independently, take the initiative and overcome obstacles.
  • Proven ability to recognize and maintain the highest levels of confidentiality.
  • Strong written communication skills.
  • Ability to work in a fastpaced, multiissue environment.
  • Able to work extended hours or on weekends as required.

OTHER COMMENTS

  • Other duties may be assigned as needed to help ensure the efficient operation of MNBC.
  • There will be a need to attend meetings and events which may require work and travel outside of normal business hours.
  • Ability to provide a satisfactory Criminal Record Check.
  • Valid BC Class 5 Driver's license and access to a reliable personal vehicle for work purposes.
