Position Summary:


Reporting directly to the Manager of Integrated Program Delivery, and indirectly to the Director of Community and Social Services, the Administrative Assistant is responsible for providing secretarial / clerical support to the Community and Social Services Division.


Qualifications:

Education, Certification and Licenses

  • Onetotwoyear College Diploma in Office Administration (including legal and medical), Business Administration
  • Minimum oneyear experience in an office environment.
  • Familiarity and proficiency in the use of all office equipment.
  • Ability to manage a heavy workload, undertake multiple tasks and meet deadlines.
  • Possess a comprehensive knowledge of community agencies/ organizations which interface with the Community and Social Services Division.
  • Excellent organizational, interpersonal, project management and communication skills.
  • Demonstrated ability to accommodate competing demands and determine priorities.
  • Ability to work independently and within a teamdelivered organizational model.
  • Computer literate in all relevant technologies within the Community and Social Services Division.
  • Ability to demonstrate sensitivity and responsiveness to the needs of the community.
  • Ability to work flexible hours, including some evenings and weekends.
  • The possession and maintenance of a valid driver's license and access to a vehicle is required.

Summary of Position Responsibilities:

  • Perform the responsibilities of the position within the legislative and regulatory standards set out in the applicable provincial and municipal acts. Perform the responsibilities of the position consistent with the operational policies of the United Counties of Leeds and Grenville.
  • Provide secretarial and clerical support to all departments/programs within the Community and Social Services Division including:
  • As directed, preparing various business correspondence (e.g. letters, memos, reports, newsletters, proposals, business plans, Joint Services, Committee of the Whole and/or Counties Council reports, etc.).
  • Preparation of related documentation for various committee meetings including taking, creating and distributing of minutes.
  • Prepare, distribute and collect service agreements, leases, Memoranda of Understanding, etc. as requested/required.
  • Gather and prepare statistical information as requested/required.
  • Provide backup to the other Administrative Assistants, Community and Social Services, as requested/required.
  • As directed, responsible for making meeting/travel arrangements for staff.
  • Prepare requests for supplies and services; ordering of supplies, etc. as requested/ required.
  • Maintain updated knowledge of all applicable legislation.
  • Maintain a high level of professional standards.
  • Ensure divisional policies, procedures and best practices are adhered to. Ensure the highest level of professional standards are met and maintained.
  • Protect own health and health of others by adopting safe work practices (report unsafe conditions immediately). Attend all relevant inhouse services regarding Occupational Health and Safety and follow guidelines for employees and employers, as legislated under the _Ontario Occupational Health and Safety Act._
- _ _Maintain a high level of respect and confidentiality for the organization, as per the _Freedom of Information and Protection and Privacy Act (FIPPA_).
