Work Hours: 8:00 AM - 4:00 PM

Responsibilities:

  • Act as the point of contact between the executives and internal/external clients
  • Manage executive calendars, including scheduling meetings and appointments
  • Assist with the preparation of meetings, including agendas, materials, and minutes
  • Monitor office supplies and research advantageous deals or suppliers
  • Develop and carry out an efficient documentation and filing system
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Conduct research, compile data, and prepare reports as needed
  • Handle confidential information with discretion
  • Provide administrative support for special projects as assigned
  • Perform basic bookkeeping / clerical duties, such as making sure financial records are uptodate
  • Assist with accounting operations such as AR and AP transaction processing, monitoring and reconciliations
  • Assist in ecommerce activities, supporting credit card and cheque payments
  • Extract, compile and analyze monthly, quarterly and year end financial information and prepare reports, including recommendations
  • Assist with annual and project forecasting, budgeting and tracking
  • Ensure compliance with internal and external controls and security
  • Perform other duties as assigned

Qualifications:

  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other similar role
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Exemplary planning and time management skills
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Ability to maintain confidentiality and exercise discretion
  • Professional demeanor and strong interpersonal skills
  • Ability to work independently and as part of a team
  • Bachelor's degree preferred
