Nursing Clerk

Full-Time

Position Summary


Reporting to the Director of Care, the Nursing Clerk is responsible for coordinating the staffing schedule while conducting various interactions with employees in the long term care residence; supports the nursing department with clerical and receptionist duties, arranging care conferences, and performing reception functions; as required.

The Nursing Clerk will be expected to provide clerical support to the Director of Care and Senior Administrator, when necessary.

Qualifications and Skills Required

  • Postsecondary school diploma; Ward Clerk Certificate or Medical Office/Assistant area of study, an asset
  • 1year experience in clerical work
  • Training and experience in office procedures
  • Excellent organizational, interpersonal and communication skills
  • Demonstrated ability to display professional conduct at all times when dealing with staff, residents, families and the public
  • Demonstrated ability to maintain confidentiality at all times
  • Ability to multitask and handle stressful situations
  • Ability to establish and maintain positive working relationships
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Current (within 6 months) Vulnerable Position/ Sector Screening (VPS)
  • Legally entitled to work in Canada

Key Responsibilities

  • Under the direction of the Director of Care, prepares and posts the nursing schedule and is responsible for the maintenance of the schedule daily (includes telephoning staff)
  • Inputs changes to the staff schedules daily and presents them for final approval by the DOC
  • Responsible for nursing department payroll and timesheets. Enters employee's scheduled hours worked and all time off into the HRIS Scheduling System; ensuring that the time sheet data mirrors the schedule data
  • Answers incoming telephone lines and takes and relays messages as required
  • Receives visitors and directs them as appropriate
  • Carries out various clerical duties for Director of Care and prepares reports, as required
  • Processes nursing forms, purges and files charts, maintains records, including CCAC acceptance/rejection letters
  • Prepares Resident Review Conference letters and sends reminders, as required
  • Coordinates Resident Review conferences and prepares Resident Review Conference schedules
  • Assists with new admissions and completes "Daily Assignment Sheets"; labels assistive devices (dentures, eye glasses, wheelchair, walkers, etc)
  • Arranges appropriate transportation for residents as directed
  • Schedules appointments, as required (Foot Clinic, Eye Clinic, Dental Clinic, etc.)
  • Monitors supply inventory; responsible for restocking supplies to storage room and ordering supplies
  • Maintains or assists in maintenance of resident records and files
  • Ensures resident satisfaction and continuous quality improvement initiatives are promoted
  • Knowledge of and promotes the homes Montessori Philosophy of Care
  • Understand and comply with all policies and procedures set out by Radiant Care
  • Participate in annual goal setting; creating and attaining goals that are aligned with the Organization's current Strategic Plan
  • Keep uptodate, comply and enforce applicable legislation (Long Term Care Act, AODA, Resident's Bill of Rights, OH&S Act and Regulations, etc.)
  • Understand and adhere to the Collective Agreement, when applicable
  • Complete all Mandatory Training assigned by the Radiant Care
  • Other duties, as assigned by Supervisor
