JOB SUMMARY: Lantic is currently recruiting for the contract position of Document Controller / Technical Administrator for the LEAP project at our Montreal refinery. Reporting to the Director, LEAP Project Management, the incumbent will be responsible for managing and monitoring documentation related to the project, while ensuring effective communication of updates with the rest of the team and the parties involved. RESPONSIBILITIES:
  • Maintain a document management system as determined in the project execution plan;
  • Ensure that the project complies with document checks and file specifications;
  • Transcribe the minutes and the measures to be taken, and ensure to communicate them accordingly;
  • Responsible for preparing the agenda and the documents for the weekly meetings, and make sure to communicate them accordingly;
  • Prepare document "workflows" for the entire project;
  • Governance and document status monitoring;
  • Follow-up with the project team to ensure that there are no delays in submitting and reviewing documents;
  • Provide weekly reports to the project manager on the progress of the document review and on responses to RFIs (Request for Information);
  • Keep a log for the transmission of documents, RFIs and any other exchange with contractors;
  • Manage the SharePoint structure or the project directory as well as the list of documents;
  • Assist the Project Manager and Construction Manager in organizing meetings and developing meeting minutes;
  • Assist the Project Manager in validating project invoices;
  • Maintain the contractor's performance log (equipment, time sheets, etc.).

QUALIFICATIONS AND PROFESSIONAL EXPERIENCE REQUIRED:

  • Experience in construction coordination focused on civil, structural and architectural aspects as well as mechanics, electricity and plumbing, an asset;
  • Knowledge of Procore software, an asset;
  • Minimum of 3 years of experience in the construction field or an equivalent combination of technical training and experience;
  • Good understanding of contractual conditions and financial aspects of a construction project;
  • Technical diploma in construction, building or architecture;
  • Experience as draftsman (an asset);
  • Resourcefulness and ability to manage several priorities simultaneously;
  • Good sense of initiative and ability to evolve in a fast-paced environment;
  • Efficient communicator (spoken and written)
