ABOUT THE CHIEF OPERATING OFFICER

Reporting to the Pitblado LLP Board, the Chief Operating Officer will be the operations leader of the Firm. They will be responsible for overseeing the day to day administrative and operational functions of the Firm to support Pitblado LLP's overall business, all under the direction of the Board. The COO will oversee and direct the internal staff and operations of the Firm, including financial and administrative management, human resources, IT, facilities management and administrative policies and procedures. The COO will support and champion the strategic direction as set by the Board. As a people-centered leader, the COO will influence decisions that challenge the status quo to promote business growth and positive development in the Firm.

KEY LEADERSHIP ACCOUNTABILITIES

Governance Support

  • Provide support to the Board through policy and procedure implementation, as approved by the Board.
  • Support and liaise between Partnership committees and provide recommendations to the Board to resolve issues, set priorities and allocate resources whenever necessary.

Operational Leadership

  • Develop an annual operating plan that supports the achievement of Firm objectives as established by the Board and Partnership.
  • Report analyses of the annual operating plan when requested by the Board.
  • Proactively identify operational issues and risks that affect the Firm and report to the Board in a timely fashion with recommendations for resolution.
  • Ensure implementation of desired solutions within agreed budgets.

Policy Development and Implementation

  • Bring recommendations to the Board for new and revised policies.
  • Ensure the Firm’s polices are administered and compliance is monitored.

Business Development and Marketing

  • Support the implementation of business development strategy through the provision of data, business and process analysis and other matters which further the business development activities of Pitblado Law and its lawyers.
  • Ensure marketing efforts are aligned with the Firm’s strategies and values, in collaboration with the Marketing Manager.

Finance

  • Present financial results to the Board, with the Director of Finance.
  • Collaborate with Director of Finance to manage Partner compensation and reporting, including capital account changes and payments.
  • Oversee management of insurance programs, pension and retirement plans.
  • Ensure senior accounting staff effectively plan, forecast, budget, provide financial reporting, general ledger accounting, billing and collections, cash flow, manage banking relationships, as well as tax planning, reporting, and trust accounting.

Human Resources

  • Ensure best practices in recruiting, hiring, training, managing and evaluating all non-lawyer administrative and support personnel, in collaboration with the Director of People and Culture.
  • Oversee salary administration, benefits administration, workers' compensation, payroll, occupational health & safety, personnel, data systems, job design and resource allocation and records management.

Systems and Information Technology

  • Oversee, through the Director of Information Technology, effective computer systems design and maintenance, information services, office automation, information storage and retrieval, telecommunications, legal practice systems and other systems management, systems analysis, operations security controls, policies, audits, cost/benefit analysis, budgets, vendor selection and procurement.

Facilities Management

  • Ensure effective space planning and design, inventory/supplies control and other facilities management functions, and including cost effective equipment acquisition and vendor selection.
  • External Relationships
  • Develop and maintain positive and productive relationships with suppliers and other stakeholders as required.
  • Maintain a leadership role in the administration management field to maintain Pitblado LLP's profile.

EDUCATION & EXPERIENCE REQUIREMENTS

The ideal candidate will have a post-secondary degree in finance, accounting, or business; an MBA or CPA designation is preferred. The candidate will have considerable experience managing operations and staff in a sophisticated business environment. The candidate must demonstrate they can effectively navigate organizational issues as a passionate, creative, authentic and resilient leader. Experience in a professional services organization is strongly preferred.

  • Effective people leadership skills, with a strong focus on mentoring, employee motivation and operational excellence.
  • Demonstrated ability to manage key constituent relationships, including customers, business partners, government agencies, and so on.
  • Able to identify key issues; creatively and strategically overcome internal and external challenges or obstacles through sound judgement
  • A clear and solid understanding of the issues faced by the Firm, including, but not limited to, reputation management, staff optimization, compensation structure, return on capital employed, future practice trends and long-term strategic planning.
  • Strong knowledge of fiscal management and responsibility, business finance, capital funding, contracts, and partnerships.
  • Sound understanding of risk management.
  • Knowledge of personnel policies, practices, and procedures.
  • Effective attention to detail and a high degree of accuracy.
  • High level of integrity, confidentiality, and accountability.
  • Sound analytical thinking, planning, prioritization, and execution skills.
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills.
