Role Overview As our Equipment & Compliance Specialist, you will be instrumental in upholding the safety, reliability, and regulatory compliance of our fleet. In this vital position, you will be responsible for managing inspections and preventive maintenance programs, ensuring that all vehicles consistently meet industry standards and legal requirements. You will also oversee the maintenance budget, diligently tracking costs, and identifying opportunities to optimize spending without compromising safety. Through your regular, insightful reports on fleet health and compliance, you will directly support leadership’s decision-making, contributing to continuous improvement across the company. Essential Duties and Responsibilities Fleet Maintenance and Operations Oversee the maintenance and repair of all company vehicles and equipment to ensure their safe and operational condition in both Toronto and Montreal. Develop and enforce a structured maintenance schedule aimed at preventing breakdowns and extending equipment lifespan. Ensure all vehicles undergo regular inspections and comply with DOT, FMCSA, CVOR, and other regulatory requirements. Manage relationships with repair shops, parts suppliers, and service providers to facilitate efficient maintenance and repairs. Maintain accurate records of equipment usage, condition, and availability to optimize fleet performance, including a PO log for all third-party vendors. Develop protocols for addressing equipment failures, breakdowns, and emergency repairs to minimize downtime. Assist in evaluating and acquiring new vehicles and equipment based on operational needs and compliance standards. Track warranties and service contracts to ensure timely repairs and cost-effective maintenance. Maintain detailed records of all equipment maintenance, compliance reports, and expenditures. Provide leadership with data-driven insights to inform decision-making. Regulatory Compliance Oversight Ensure all fleet operations are compliant with DOT, FMCSA, CVOR, IFTA, IRP, and other applicable federal, state, and provincial transportation regulations. Measure the company’s CVOR and FMCSA SAFER scores on a monthly basis. Budget and Cost Management Monitor the annual fleet maintenance and compliance budget. Track expenditures related to repairs, parts, service providers, and equipment replacements. Analyze trends in repair frequency, parts usage, and vendor performance to support data-driven maintenance planning. Identify cost-saving opportunities through enhanced efficiency, vendor management, or asset replacement strategies. Assist in capital planning for fleet upgrades or new equipment purchases. Evaluate and manage vendor contracts and performance related to fleet services. Reporting and Documentation Maintain accurate and up-to-date documentation for all maintenance activities, inspections, and compliance certifications. Generate regular reports on fleet condition, maintenance KPIs, downtime, and cost performance. Provide management with insights and data to support decision-making, budget reviews, and operational planning. Support leadership with dashboards that highlight risks, opportunities, and performance insights. Collaborate with other departments to deliver data and reporting for cross-functional initiatives, such as safety programs, sustainability tracking, and operational planning. Prepare for DOT, CVOR, or other regulatory audits by maintaining precise records, logs, and documentation, and proactively addressing any compliance gaps. Qualifications Three or more years of experience in equipment and compliance maintenance. A minimum of three years’ experience in the logistics industry is preferred. A university degree or college diploma from a recognized post-secondary institution is required. Ability and willingness to travel one to two times per month.
